Rachel is a mother of four, actress and podcaster. She started Check Off Your List as a means to be able to stay home with her growing family and never dreamed that it would grow into the thriving business that it is today.
At Check Off Your List, we thrive when our people thrive. We are currently looking for an Executive Assistant to be the supportive force that empowers our senior leadership and our clients. The ideal person for the job will be a proactive problem solver with exceptional communication skills and a meticulous attention to detail. He/She will have previous experience working remote, performing administrative duties and providing support to management as well as interacting and building relationships with clients and team members as a virtual Executive Assistant. We rely on our assistants to be flexible, have foresight and multi-task while maintaining confidences with a high level of organization.
Objectives of this Role
· With a primary responsibility of supporting the Director, Business Operations, provide support to various clients as directed to ensure that company goals and objectives are accomplished, and operations run efficiently
· Maintain client relations and refine internal processes that support the company and the client, coordinating internal and external resources to expedite workflow
· Manage communication between various client’s upper management and employees, liaising with internal and external executives on various projects and tasks
· Plan and orchestrate work to ensure the client’s priorities are met, organizational goals are achieved, and best practices are upheld
Daily and Monthly Responsibilities (dependent on client needs)
· Manage the professional and personal needs for various clients, including but not limited to; scheduling, agendas, mail, email, calls, travel arrangements, client management, and other company logistics
· Tracking detailed records in timekeeping system
· Be able to coordinate complex scheduling and extensive calendar management, as well as management of content and flow of information to our virtual client’s senior executives
· Be able to manage, coordinate, and arrange our virtual client’s travel and travel-related activities, including hotel booking, transportation, and meal coordination
· Perform administrative and office support, such as typing, dictation, spreadsheet creation, faxing, and maintenance of filing system and contact database
· Maintain professionalism and strict confidentiality with all materials, and exercise discretion when interfacing with various clients and our company
· Organize team communications and plan events, both internally and offsite for both our virtual clients and the company
· Response to all requests within a maximum of 4 hours
· All other tasks as needed
Skills and Qualifications
· 4 years of experience in administrative role ing directly to senior management
· Superb written and verbal communication skills
· Strong time-management skills and the ability to organize and coordinate multiple projects at once
· Proficiency in Microsoft Office and other office productivity tools, with aptitude to learn new software and systems
· Flexible team player willing to do what it takes to get the job done; adaptable and enjoys a challenge
· Ability to keep various companies’ confidences
· Switch gears easily between different companies to satisfy different specific needs
· Promptness and a motivated self-starter is required who can thrive in a highly diverse environment
· Able to navigate priorities with a high capacity for multi-tasking
Preferred Qualifications
· Experience developing internal processes and filing systems
· Associates or above degree in administration; or an equivalent of experience
Job Type: PT with with the possibility of FT Hours
Pay: $18.00 – $20.00 per hour DOE
