Job Description
Due to an increasing volume of queries to our central HR inbox we are recruiting for an additional HR Administrator. The role will support the HR administrative processes for the UK employee population. The individual will be working within a fast paced Support Centre environment where proactive thinking, accuracy to work and a focus on customer services are vitally important. The HR Administrator will be expected to develop within a changing environment and maintain key deadlines whilst providing full HR administrative support to the employee lifecycle of our UK employees.
This position is full time, 5 days per week (Monday to Friday). Flexible Hybrid Working – up to 3 days at the office / 2 working from home.
The responsibilities and duties of the role are:
Responsible for the internal HR email inbox, actioning employee queries and escalating complex queries to the appropriate HR team member.
Managing all new starter and leaver administration, the on-boarding process and participate in the delivery of first day inductions to promote an excellent candidate journey into CGG.
Facilitating pre-employment checks including employment references, right to work checks, obtaining signed contracts and ensuring the appropriate documents are received prior to an individual starting employment.
Producing high quality and accurate contracts, amendment to contracts, probation and secondment letters etc.
To ensure all other relevant HR employee documentation including references, sickness notifications and benefit information is produced and maintained accordingly
Managing all leavers administration including holding exit interviews, when required.
Working with payroll and other internal stakeholders to ensure all HR administration processes are delivered (i.e. Sundry payments).
Produce accurate and timely monthly employee information to payroll for the submissions.
Maintaining employee files ensuring the appropriate documents are saved and files are kept in accordance with GDPR guidelines.
Contributing to the development and continual improvement of HR processes and documents accordingly.
Assist with the coordination of internal HR audits.
Provide administrative support to the provision and management of employee benefits and rewards through the benefits platform.
To assist and co-ordinate employee relocation to and from the UK or from a UK business site to another, initiating contact with the relocation supplier and making any relevant travel bookings. There might be a need to liaise with other HR members in other countries, as and when needed.
Support the annual review, objective setting, bonus and salary review administration process aligned to corporate requirements.
Ensure the internal HR database (HRMS/OSS) is kept up to date with general employee changes and on request produce relevant reports.
To ensure TMS requests are raised when required.
Supporting the HR team in the production of HR reports/metrics.
Participating in the delivery of HR projects and other adhoc activity (i.e. Wellbeing Calendar).
Acting as a Travel booker for New Starters & HR Team member.
Monthly Reconciliation of HR Team credit card.
Liaise with relevant HRBP’s or business line manager to produce and send out UK On The Move communications.
Qualifications
Educated to A Level standard or relevant experience
Relevant HR administration experience (Preferable)
Ideally Level 3 CIPD or proven relevant HR experience (Preferable but not required)
Intermediate level IT skills – Excel, Word, MS Outlook and Powerpoint skills
Use of Oracle Database (Preferable)
Working in a Matrix organisational structure
