Centre for Newcomers Hiring for Front Desk Associate – Amharic/Tigrinya at Calgary, AB Full Time

The Role

Reporting to the Administration and Client Service Team Lead. The Client Service Associate is responsible for ensuring that clients, guests, and callers are provided a consistent, professional, prompt, and friendly level of service; pre-screen clients to determine their eligibility for service programs, and provide administrative support to the Centre for Newcomers staff.

Responsibilities

• Welcome clients, guests and callers and ensure that all clients and guests waiting on site or over the phone receive a professional, friendly, and adequate level of service or attention.
• Use a customer-focused approach to effectively pre-screen clients to determine eligibility for program services as well to provide overview of internal and external resources and services which may help to meet their needs
• Provide clients a brief overview of the Centre’s major services.
• Direct clients and guests to their scheduled appointments promptly; advise program staff as appropriate.
• Answer, screen, and forward telephone calls, take messages and respond to telephone inquiries.
• Schedule or book and co-ordinate appointments with employment and settlement personnel and other programs appropriately.
• Work collaboratively with the Client Service Team and all other program staff.
• Provide administrative support to the Centre for Newcomers as requested.
• Work collaboratively with Operation Manager.
• With support from the Operation Manager, maintain the room booking schedule for the Centre.
• Provide administrative support to the Centre for Newcomers as requested from the Operation Manager, or the Lead Client Service Associate
• Any other task related to Client Service or Administration assigned by the Operation Manager.
• Oversee maintenance, cleanliness, and orderliness of the Administration back office and front reception area.
• Manage all the incoming and outgoing mail.
• Provide support to the Facility Manager with regards to storing, inventory, booking monitoring, and trouble shooting of equipment.
• Maintain inventory of general office supplies, and place orders as needed and requested from different programs.
• Oversee maintenance, cleanliness, and re-stock supplies of the staff resources office.
• Monitor information brochures in the front lobby and re-stock when necessary.
• Prepare monthly schedule for kitchen cleaning and inform staff about their assignment.
• Update the information/schedules being shown on the TV monitors as per file provided by Communications.
• Prepare and monitor post notices / signs regarding change of office hours/schedules, office closures, agency events and other internal and external signs in accordance with agency communication standards.
• Willing to work in the evenings and Saturdays.

Qualifications

• Exceptional customer service skills
• Excellent communication skills in English. Fluency in a Amharic/Tigrinya languages is an asset
• Diploma or Degree in Human Services related field
• Minimum three years of experience in customer service, administration, and cross-cultural communication; experience working in a busy client service and office environment is preferred
• Ability to multi-task and work with minimum supervision
• Self motivated, flexible, organized, punctual, team player
• Excellent communication, listening, assessment and organizational skills
• Ability to use initiative and judgment within established guidelines and procedures
• Ability to analyze, interpret, apply, and explain the Centre’s services to clients
• Ability to establish and maintain positive working relationships with others both internally and externally
• Skilled in the use of Microsoft Office
• Alberta Class 5 driving license is a must.
