Caythorpe & Ancaster Medical Practice Hiring for HR Administrator at Grantham Full Time

Here at Caythorpe and Ancaster Medical Practice, we are looking to appoint two HR Administrators within our team, working in conjunction with Ruskington Medical Practice and Millview Medical Practice. The successful candidates will each have a host Practice but will be required to work across all three from time to time.

As a HR Administrator, the successful candidates will support the Practice Managers, as well as working alongside the departmental managers to ensure all of our employee related administrator is timely and accurately completed.

Between the two combined posts we are looking to recruit the equivalent of one full time and one part time position however, hours of work will be negotiated at appointment. Each Medical Practice works between the hours of 8:00-18:30 therefore, a level of flexibility within these times is essential.

Main duties of the job

As a HR Administrators, the successful candidates will act as first point of contact for the day to day HR enquiries. You will be responsible for the administration of all transactional HR activities including processing starters and leavers, generating offer letters, contracts of employment, contract changes and the administration of staff sickness absence, while maintaining HR systems and databases and ensuring the smooth and effective running of the HR function.

This is a varied role which will give you the opportunity to develop a wide range of skills. We are seeking self-starters with meticulous attention to detail, experience of HR administration, excellent communication and organisational skills, and an approachable and confident manner when dealing with people at all levels.

At Caythorpe and Ancaster Medical Practice we are a rural training and dispensing practice, working from two sites. We provide health care for a population of 9,400 patients scattered over approximately 50 villages in southwest Lincolnshire.

Job description

The following are the core responsibilities of a HR Administrator;

• Responsible for all the internal HR related questions, actioning employee queries and escalating complex queries to the Practice Manager.
• Proactively composing all required job advertisements ensuring they are promoted on the relevant platforms.
• Manage the recruitment process for all vacancies ensuring all new starters have an excellent on-boarding journey.
• Completing pre-employment checks including employment references, right to work checks, obtaining signed contracts and ensuring the appropriate documents are received prior to an individual starting employment.
• Managing all leavers administration including holding exit interviews.
• Assist with the maintenance of the personnel files ensuring all filing is carried out in a timely and efficient manner, so information is kept up to date and in line with legal requirements.
• To be responsible for the administration of staff sickness absence, identifying trends and triggers and maintaining the database.
• Maintain key deadlines whilst providing full HR administrative support to the employee lifecycle.
• Working with the Finance Managers and other internal stakeholders to ensure all HR administration processes are delivered.
• Ensure all HR processes and trackers are effectively maintained and data integrity is accurate.
• Work with the Practice Managers and departmental managers in relation to HR administration, policies and procedures.
• Handle personal written, telephone and email enquiries from people including; external organisations, and former employees in an effective and timely manner.
• Assist with the coordination of internal HR audits.
• Involvement in ad-hoc projects as and when required.
• Carry out any other tasks as may be reasonably requested by the Partners or the Practice Manager.
