The successful candidate for this role will take ownership of processing the data within some of our key systems, including our parent payment system and accounting systems. While this role has autonomy over the payment system, you will be supported by wider teams as many of these duties will overlap with other departments such as, operations, operational finance, and treasury. The key duties include the below:
· Hands-on ownership of the Caterlink meal payment System, including but not limited to, responding to parent’s and client’s with queries, updating class lists, maintaining accurate prices, onboarding and offboarding schools, and cleansing old data.
· Preparing and processing parent and school refund payment requests ready for sign off.
· Maintain the accuracy of our operational hierarchy, contracts, groups, closed locations, and payment system to ensure our refund process runs effectively.
· Liaise with our payment system providers to obtain any required reports, while building a relationship so we can start to integrate our processes with their system more efficiently.
· Send out weekly meal payment system figures to our administrators for input into our accounting system.
· Generate and send weekly reports that reconcile our payment system with our invoicing system for our operations teams.
· Propose/discuss potential new system/process features or glitch fixes to improve our user experience and internal efficiency with the finance manager and another system administrator.
· Ad-Hoc tasks required for the Education operational finance team when required.
The successful candidate will be able to work flexible hours on occasion but usual hours will be 9am – 3pm (Inc. lunch) while schools are most operational. This role is suited to:
· Organised administrator with an understanding of finance systems and strong IT skills, including excel.
· Or someone interested in starting a career in systems/finance admin or IT support but must have a good understanding of excel.
· Self-motivated, uses their own initiative and has great time management skills with a good sense of prioritisation.
· Articulate, polite and confident communicator – this role will require direct communication with schools, parents and the operations team as well as finance
· Strong sense of team spirit and ability to roll sleeves up and muck in when required
In return we are offering a competitive salary up to £24k pro-rata’d (£15k equivalent) and great skill development opportunities for willing candidates.
