Caruso Homes, Inc. an award-winning residential homebuilder located in Crofton Maryland is seeking a Settlement/Transaction Coordinator in our Delaware Division to join their team.
Position Summary:
The Transaction Coordinator will assist experienced back office Project Manager(s) with various administrative aspects of the homebuilding process from the sales agreement through the key exchange process to contribute to an exemplary experience and to ensure our customers are delighted, and happy with their new home purchase.
The Coordinator will interact with homebuyers periodically via phone, email and in person to provide them with updates about the status of their home and to complete certain milestones.
The Coordinator will deliver a high-touch customer experience that mirrors the level of quality found throughout Caruso Homes. The Coordinator should be extremely organized and a customer service-oriented team player.
Essential Duties:
· Assist the back-office Project Manager(s) in their role as the customer’s main point of contact throughout the construction and key exchange,
· Assist the back-office Project Manager(s) in their role as point person between the homebuyer and the On Your Lot Sales Manager. (e.g., construction, sales, design studio/vendors).
· Assisting with order intake, creation of documents via internal software, data entry, filing, scheduling, and various administrative aspects of the sales, entitlement and closing process
· Use effective time management skills as well as good judgment to manage everyday tasks including but not limited to:
· Facilitating pre-construction meetings and assembling pre-construction packages, completing and finalizing customer change requests,
· Finalizing customer’s third-party trade partner purchases.
· Tracking architectural/engineering in process to support the permit process and enable the commencement of construction.
· Oversee the permit process and organizing all requirements for application.
· Support the final key exchange meetings with customers. Assembling settlement and pre-settlement packages. Participate in the coordination of homebuyer new home orientation and final walkthroughs.
· Providing outstanding communication and best-in-class service to homeowners, real estate agents, banks, and internal colleagues
· Facilitate all documents generated by the sales team through the workflow process.
· Input all necessary information into various databases, transaction management and CRM systems.
· Maintain a sales tracker with all new sales and updated start and settlement data.
· Assist the site managers in the process of obtaining timely installation of required site utilities
