Provide administrative and secretarial support services primarily to Chief Executive Officer, Cardinal Ritter Senior Services Agency, Board of Directors and Leadership as requested.

Duties & Responsibilities
· Handles routine business affairs and troubleshoots problems/issues for Chief Executive Officer and Admin.
· Maintains CEO’s calendar.
· Makes travel and meeting arrangements.
· Establishes and maintains confidential files.
· Composes correspondence for CEO’s signature.
· Schedules Leadership weekly/bi-monthly updates with CEO
· Manages and maintains CRSS Employee Food Pantry
· Manages We Care We Share program/Schnuck’s gift cards with CEO oversight.
· Responds to requests for Agency historical information and operational policies.
· Inputs payroll information for CEO Direct s.
· Prepares and keeps up to date all Board of Director Certificate of Incumbency information.
· Prepares, organizes and distributes agenda and Board materials for Board of Directors, Executive Committee and sub-committee Board meetings, and Board Orientation,
· Schedules departments to present at Board Committee meetings and at full Board meetings.
· Attends meetings of the Board of Directors, takes and transcribes minutes of said meetings and meetings of Committees of the Board. Maintains Board files and correspondence.
· Maintains files and calendar relative to the conduct of business by the Board of Directors.
· Starts the Board Governance process for maintaining correct Board census with follow-up.
· Provides information regarding Board responsibilities, membership and committee structure.
· Provides Notary Public services to residents and their families and staff.
· Creates and orders Business cards and Letterhead supplies from vendor for Staff throughout Agency.
· Controls the usage of CEO Visa card and gathers backup and justifies information and reconciles statement monthly.
· Picks up, sorts, and distributes mail for several other Department Directors twice a day.
· Coordinates with various agencies for workshops/seminars on Campus. Works with Housekeeping/Dietary/maintenance to make sure needs are met for outside groups.
· Schedules Clinic doctors (Podiatrist/Eye Doctors and Dentist working with (social workers and staffing coordinator) and prepares room rental statements.
· Files Annual/Bi-annual Corporate Registration s with the State to maintain corporate status for all HUD/Campus agencies.
· Distributes and maintains annual disaster plan transfer agreements with other agencies.
· Prepares Annual/Monthly Master Calendar of Events for Lally and Classroom and handles arrangements with Housekeeping, Dietary, Maintenance, etc. in connection with said events.
· Provides re-licensure information for Assisted Living and Skilled facilities/gets check and mails to state.
· Maintains and distributes Agency directories (Department and Alphabetical), HUD Housing directory, and Organizational Chart monthly.
· Provides assistance to Leadership as needed/requested (United Way, HUD projects, Transportation/vehicle titles, etc.)
· Maintains master file on contracts for CRSS facilities.
· Obtains Agency Vehicle/busses registrations/titles/plates from DMV for Maintenance when needed throughout the year.
· Works closely with Director of HR and staff.
· Performs other duties as assigned.
Knowledge & Experience Requirements
· Must have at least 5 years executive secretarial experience.
· Familiarity with English composition and ability to compose own correspondence required. Good sense of quality data presentation.
· Knowledge of computers and general office equipment, Microsoft Word and Excel.
· High level of confidentiality.
· Ability to work with individuals at all levels of the organization and those from outside the organization.
· Computer ability of at least 60 words per minute with accuracy.
· Ability to make decisions based on urgency of situation and administrative policies.
· Ability to prioritize work and work under pressure.
· Good judgment.
· Good interpersonal skills.
· Maintain positive attitude at all times.
· Ability to listen and communicate with a variety of people.
· Ability to deal with stress/troubleshoot in a calm efficient manner.
· Able to comfortably handle any type of situation that may arise with Administrators, staff or residents and/or their families on a daily basis.
Relationship Requirements
· Excellent working relationships with Administrators, Board Members, staff members, residents and family members and Catholic Charities and Archdiocese staff must be established and maintained.
· Must always be available to assist residents and their families when needed.
Pre-Employment Screening
All candidates receiving an offer for employment will be required to submit to pre-employment screening. The screenings will include criminal background check and other background checks (as needed), drug screen, an employment and education or licensure/certification verification, and Covid-19 and Influenza vaccination. Various positions will require physical examination, Tuberculosis screening and Hepatitis A. All offers are contingent upon successful completion of required screening.
