Office and Events Administrator

Work Environment: Remote work from home, with occasional travel within the Lower Mainland, BC.

10,000 companies nationally for businesses in all sectors of manufacturing and exporting coast to coast. For 150 years, we have earned an extensive track record working for and with 2,500 leading manufacturers from coast to coast to help their businesses grow.

BC Division’s programs include executive peer mentoring councils, LEAN training, leadership skills, and an HR program. We deliver event series to inform companies of new productivity methods, innovative technologies, and strategic business topics.

Summary:
The Office and Events Administrator serves as the primary point of administrative contact for staff, internal and external stakeholders. The incumbent coordinates and/or performs a variety of administrative, financial and program support activities, including coordination of events. Responsibilities include:

• Provide administrative support to the divisional team and CME’s Executive Peer Councils.
• Update databases, registration, and contact lists.
• Assist with schedules, logistics, agendas, materials, and reports for meetings/events.
• Liaises with external contacts/partners to arrange meetings, catering. and presentations.
• Process accounts payable, accounts receivable, initiate invoices and follow up on late payments.
• Coordinate meeting invitations, RSVPs, and guest list.
• Prepare monthly documents meetings.
• Post-meeting documentation recorded and follow-up with any action items required.
• Plan and coordinate CME events, luncheons, conventions, and other forums.
• Provide support with promotion of events.
• Occasional website updates.

Skills and Experience:

• 1-3 years experience as Office and Events Administrator or similar.
• Event planning experience preferred.
• Effective oral and written English communication skills.
• Skills with Microsoft Office and CRM software. Intermediate to advanced Level in Microsoft Excel.
• Must exercise high degree of confidentiality, discretionary judgment, initiative, and tact.
• Flexible and able to prioritize/organize work effectively under pressure to meet deadlines.
• Able to work independently and ask for clarification where needed.
• Strong organizational skills and ability to keep documentation tidy and structured.
• Access to vehicle preferred for event setup in the Lower Mainland, BC.
• Able to work outside customary business hours during periods leading up to and during major events.
