Summary

To provide administrative support to the Department of Aviation
Science in its role in California Baptist University by performing
the following duties.

Essential Duties and Responsibilities

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following.
Other duties may be assigned.

1. Provides administrative support to the Chair of Aviation
   Science.
2. Supports supervisor’s calendar and independently schedules
   appointments.
3. Coordinates the hourly and salary payroll records before
   submitting them to Payroll for processing.
4. Coordinates internal processing of all new staff, student
   workers, and faculty including HR paperwork, IT systems, and
   security access.
5. Processes all adjunct, student worker, and staff HR
   paperwork.
6. Prepares all salary initiation memos and adjunct
   agreements.
7. Assists with University Advancement aviation department
   activities.
8. Arranges faculty and staff interviews, review applications,
   communicate with all applicants, answer inquiries, and monitor
   status.
9. Coordinates and updates website and catalog revisions.
10. Updates department Blackboard and social media sites to include
    scholarship information.
11. Prepares and documents requisitions and department P.O.s for
    Chair’s signature, forward to Accounting, and maintain files for
    record keeping.
12. Manages, monitors, and assists the Chair in preparing annual
    budgets for all department cost centers.
13. Maintains security access for all faculty, staff, and
    students.
14. Composes and prepares confidential correspondence, reports, and
    other complex documents.
15. Creates and maintains database and spreadsheet files for all
    academic actions including course schedules, variances, challenge
    by certification, challenge by examination, and grade changes.
16. Receives and distributes incoming mail. Ensures that mail goes
    out on time.
17. Maintains secure access to confidential records of keys, access
    codes, and credit cards, and issues same.
18. Assists on specific projects related to the long-term goals of
    the University, such as strategic planning, and fiscal
    responsibility.
19. Organizes and maintains file system and files correspondence
    and other records.
20. Prepares outgoing mail and correspondence, including e-mail and
    faxes.
21. Orders and maintains supplies and arranges for equipment
    maintenance.
22. Presents a positive supportive image of the department, CBU,
    and Christian higher education.

Supervisory Responsibilities

This position could be responsible for assigning work and/or giving
direction to part-time Student Workers, in order to complete office
work assignments.

  procedures and documentation.

  procedures.

  to work effectively with a diverse faculty, staff, and student
  body.
• Ability to make administrative/procedural decisions and
  judgments.
• Ability to create, compose, and edit written materials.
• Excellent telephone courtesy, knowledge, and experience.
• Ability to develop and maintain record-keeping systems and
  procedures.
• Ability to resolve customer complaints and concerns.

Education and/or Experience

Associate degree (A. A.) or equivalent from a two-year college or
technical school; or six months to one-year related experience
and/or training; or equivalent combination of education and
experience.
