Calico Hiring for Studio Manager at Melbourne, Victoria, Australia Full Time


Calico is one of Australia’s most established and respected digital agencies – flexible remote with a home base in Melbourne’s CBD. We are seeking a Studio Manager to help with ongoing studio management as well as payments, invoicing and a range of other tasks.

You will be working within a team of smart and creative people and clients like Zoos Victoria, Melbourne Polytechnic, The Royal Botanic Gardens, The Melbourne Comedy Festival and many more. Check out some of our recent work at calicoagency.com.au.

This is a hybrid role. You can work a flexible mix of WFH and at our Melbourne CBD office. It is available as 3-5 day per week role. There is a requirement of a minimum 1 day per week in our CBD office.

Duties include:

  • Phone answering, directing and screening calls
  • Paying accounts
  • Maintaining the Staff Directory
  • Scanning and filing documents as necessary
  • Assisting accounts and sending invoices using Xero
  • Assisting with the management of our sales forecasting software
  • Managing client and supplier contact information
  • Keeping insurance documentation up to date
  • Assisting with keeping project & process documentation up to date
  • Purchasing office supplies
  • Ordering computer equipment and maintaining the equipment register

Social

  • Assisting with Facebook, LinkedIn and Instagram posts
  • Maintaining Calico’s website content
  • Taking social photos of the team on occasion
  • Assisting with email marketing
  • Organising and running staff social events
  • Contributing to the culture at Calico
  • Ordering lunches

PA duties

  • Booking restaurants and travel
  • Diary management
  • Organisational tasks as required
  • Assisting the Sales team with managing leads and business proposals
  • Assisting Leadership Team
  • Assisting Project Management team with preparing various project documents & client contracts

Human Resources

  • Onboarding/offboarding staff
  • Maintaining the staff directory
  • Managing leave requests
  • Keep track of staff birthdays
  • Sending staff and client gifts
  • Organising couriers
  • Booking & coordinating training

Studio Management

  • Purchasing office supplies
  • Ensuring the studio is kept organised and presentable
  • Watering office plants

Additional duties

  • Some basic website work such as testing and content entry

Requirements

  • Have great communication skills, both written and verbal
  • A pleasant phone manner and professional demeanour
  • A native understanding of all things digital
  • Be able to work without supervision and have initiative
  • Experience with Xero preferable
  • Basic accounts receivable and payable experience essential
