Role Purpose:
The HRIS Systems specialist (SAP Specialist) is accountable for managing the global HR systems used by British Council. Currently, this comprises of:
SAP SuccessFactors – Employee central, including time off
SAP SuccessFactors – Recruiting Management and Marketing including interface with external job portals.
SAP SuccessFactors – Onboarding 2.0 & Cross boarding with integrated & streamlines processes
SAP SuccessFactors – Learning Management, including third party online bookings and content integration
SAP SuccessFactors – Performance Management & Goals.
SAP C4C – Employee Service Centre with Cloud for Customer Integrated to Employee Centre.
Open Text – Document Management and retention set up in line with GPDR.
Integrations with other platforms i.e., Payroll interface, Active directory, SAP Finance, Pre employment screening, DocuSign etc.
Role Context:
The British Council is undergoing a tremendous amount of change. Critical to the success of these change programmes is the People and Organization Work Plan. Under HR’s proposed work plan, there are four key themes, a mixture of supporting transformation and getting the basics right: Culture, Values & leadership; Organisational Design; Building our Global Workforce and Fit for Purpose HR.
The “ Transforming HR” is a key area of the People and Organisation Change Strategy; its focus is on delivering efficient, effective and appropriate HR services to the British Council worldwide. The early work is also aligned with necessary contributions to various Programmes, mastered people data and the management of a number of key risks. The critical piece of work will be the acquisition, configuration and rollout of a global HR Information System (HRIS).
Main Accountabilities:
Service delivery
Engage with Key stakeholders to deliver HRIS product & services to align with business needs
Manage own workload of ‘HR tickets’ (incidents and service requests) ensuring that they are effectively managed in accordance with defined operating procedures and agreed SLAs.
Manage elements of the annual operational cycle around SuccessFactors – for example, the creation of new annual leave entitlement balances, holiday calendars, Salary reviews etc.
Support the deployment of system upgrades and mandatory system changes.
Plan and Align local requirement set up to global processes & Global system standards
Work effectively with GIS in investigating and resolving problems whose resolution involves multiple infrastructure components (for example, integration between SuccessFactors and the British Council’s finance systems).
Support SBU / Region’s in developing system strategy to align with local requirements
Ensure the team is adhering to system governance standards and Data protection policy.
Conduct timely system audits to ensure the system is secure and supports data protection and local legal requirements.
Work closely with Data ops team to ensure Data is maintained in the system to the highest standard and identify any process or training gaps.
Coaching, Training and upskilling the Tier 1 & 2 support teams and organise training programme.
Accurate documentation of all system changes and maintaining workbooks
Involvement in ongoing business projects to ensure restructure or process changes are aligned with system functionalities
Act as a System Consultant for the business and any future needs the business may have.
Analysis & problem-solving
Creatively apply ones’ technical knowledge of SuccessFactors to investigate complex technical issues and identify resolutions.
Provide advice and support to the HR process improvement team as they develop, modify or enhance the British Council’s HR process architecture.
Work with colleagues in other teams (such as HR Process Improvement) to deliver and project manage small scale functional enhancements and change initiatives.
Relationship & stakeholder management
Maintain effective communication and Develop effective working relationships with colleagues throughout the British Council and with external suppliers.
Role Specific Knowledge and Experience:
Significant experience in managing HR systems within a large and complex organization with matrix structures
Experience working with SuccessFactor Employee central and other Talent Module as a System Consultant / Implementation Specialist.
Experience in working on standardizing & implementing global processes within the system
Demonstrable experience in providing expert advice and guidance on internal and external communications and meetings
Experience of managing crisis comms
SAP SuccessFactor Certification in Employee central and/or more than 1 Talent module
Experience in a global organization
