Position Description: Bookkeeper Office Manager / Exempt Salaried; Full-Time; Year-Round
Basic Function: The bookkeeper position creates financial transactions and generates reports from that information. The creation of financial transactions includes posting information to accounting journals or accounting software from such source documents as invoices to customers, cash receipts, and supplier invoices. The bookkeeper also reconciles accounts to ensure their accuracy.
Principal Accountabilities:
1. Follow the BHYC bookkeeping policies and procedures
2. Pay supplier invoices in a timely manner
3. Take all reasonable discounts on supplier invoices
4. Pay any debt as it comes due for payment
5. Ensure that receivables are collected promptly
6. Record cash receipts and make bank deposits
7. Conduct a monthly reconciliation of every bank account
8. Conduct periodic reconciliations of all accounts to ensure their accuracy
9. Maintain the petty cash fund
10. Issue financial statements monthly
11. Provide information to the external accountant who review and makes adjustments to the company’s financial statements
12. Assemble information for external auditors for the annual audit and tax return
13. Maintain an orderly accounting and general office filing system
14. Maintain the chart of accounts within Clubessential
15. Comply with local, state, and federal government reporting requirements
16. Process payroll in a timely manner
17. Provide clerical and administrative support to management as requested
18. Purchase supplies and equipment as authorized by management
19. Monitor office supply levels and reorder as necessary
20. Monitor fixed assets
Desired Qualifications: The bookkeeper candidate should have at minimum an Associate’s degree in accounting or business administration, or equivalent business experience, as well as a knowledge of bookkeeping and generally accepted accounting principles. Should be detail oriented.
Work Review: The Bookkeeper will be required to attend a weekly meeting with the General Manager to ensure all accounting and business administration issues are in order. Additionally, the Bookkeeper will meet with the General Manager before month end financials are distributed to the Board of Directors and Committee Chairs.
Annual Review: The Bookkeeper will have an annual review of his/her work performance. This review will determine whether additional compensation is warranted.
