Bonanza Trade & Supply Hiring for Accounts Payable Assistant Job at North Hollywood, CA Full Time

Bonanza Trade and Supply, established in 1995, with the sole purpose of providing one place for both the Tile Contractors and Stone Fabricators to source their supplies. Located in North Hollywood, California, Bonanza has a large retail store, multiple online selling channels, a team of outside salespeople and two distribution warehouses. In addition, we have a fleet of trucks and provide a delivery system that is unsurpassed in our industry.

We are looking for hard working and well-organized Accounts Payable Assistant to join our accounting team. The ideal candidate will have an impeccable attendance record, consistent long term work experience and is driven to get the job done. Your responsibilities will include:

Entering vendor receipt of goods and invoices:

• Retrieve/print vendor invoices received via email and/or mail on a daily basis.
• Enter receipt of goods based on receiving documents, i.e., packing slips, BOL’s and put-away sheets as they are scanned from all Warehouses.
• On a regular basis, perform the 3-way matching of vendor invoices against purchase orders (PO), and receiving reports as to quantity, product, pricing, and terms.
• Red flag exceptions, if any, and communicate and discuss the same to corresponding parties including Purchasing.
• Ensure that freight charges reflected on vendors’ invoices are in line with the freight policies as agreed.
• Batch by batch, enter the matched invoices into the A/P system through the Receipt of Invoice Entry in the PO module.
• Post each batch of the entered invoices to the A/P system after ensuring its accuracy.
• Update the A/P register after verifying the accuracy of the entries.
• Prepare a separate batch of invoices that needs corrections in terms of price or landed cost.

Entering Non-Material invoices:

• Non-material invoices such as utility and telephone bills, professional and consultancy fees, freight charges, health and general insurance premiums and others need to be approved prior to processing, posting and payment.
• Enter and post non-material invoices to Invoice
• Check and verify the accuracy of the entries.

A/P Payments – Help prepare weekly check run:

• Perform and prepare for a weekly Check run. Supervisor will determine and select which invoices will be paid by performing the Invoice Payment Selection process.
• Print checks in the Check Printing Payment maintenance in the A/P Module.

Additional Tasks:

• Address and resolve issues pertaining to discrepancies in the invoice process, such as short payments, credit memos, orders on hold, payment requests, and other issues that may occur from time to time.
• Perform an analysis of the Purchase Clearing account, investigate unusual and/or in-appropriate entries and initiate the required adjusting journal entries to correct them.
• Print and analyze the monthly A/P Detailed Aging Schedule. Reconcile the same with the controlling Accounts Receivable account in the general ledger and prepare the necessary adjusting journal entries, if any.
• Perform other tasks that maybe assigned from time to time by the Supervisor.

Required Qualifications:

• Thorough knowledge of GAAP accounting principles and applicable accounts payable/general ledger systems and procedures, financial chart of accounts and corporate procedures
• Proficient in Excel, Outlook, Word, and 10-key by touch.
• Familiarity with integrated accounting systems such as Sage 100, or similar ERP systems, but willing to train
• Associate Degree and minimum 3 years continuous accounting experience required

Pay: $19.00 – $21.00 per hour
