Overview of the role
We have an amazing opportunity for an enthusiastic and proactive Talent Assistant to join the Talent team and grow their HR career. In this role, you’ll be responsible for supporting the Head of Talent, Talent Development Consultant and Talent Attraction Manager across the full range of talent activities specialising in recruitment and onboarding. While also partnering on and ensuring generalist activities are delivered at a high standard. Like learning and development, performance management, compensation and benefits and employee engagement and communication.
You will have full responsibility for the administration within the team, and this is a great opportunity for a highly organised and meticulous individual to take ownership of processes and procedures, ensuring that we follow best practice and offer an excellent service to the business.
In addition, this role will be the first point of contact for anyone interacting with Black Sun. From onboarding through to embedding in the business, you will be the face of the Talent team, able to answer queries ranging from using our HR system, to managing their career.

Some of the key responsibilities in this great role include:

• Independently managing all HR administration tasks including ensuring all correct paperwork is in place for new joiners, drafting employee letters, maintaining Black Sun’s HR system (BambooHR), running HR reports, and maintaining essential HR files with employee data
• Acting as the BambooHR “super-user”, ensuring we optimise all functionality
• Supporting the Talent Attraction Manager with the recruitment process helping to maintain job specifications, arranging interviews, advertising roles, and creating CV packs for interviews
• Managing the employee onboarding process including preparing the offer letter and employment contract, organising reference calls, preparing induction packs and managing the induction onboarding
• Managing the visa sponsorship processes for UK and Singapore staff, ensuring that all paperwork is correctly prepared and submitted and project managing the process as required
• Acting as the first contact for all staff HR-related queries (for example absences, performance reviews, training, hiring, BambooHR queries)
• Supporting the Talent Development Consultant in the delivery of internal training including scheduling training, preparing the presentation materials and handouts, following up with post-training feedback surveys and keeping accurate records and providing reports and analytics
• Managing the bi-annual performance review process from communicating the timeframes and expectations, arranging and delivering training, following up with management on progress and ensuring all employees’ reviews are complete with SMART goals logged.
• Drafting essential HR documentation, such as Employee Handbook and policy and procedures updates, for review by the Head of Talent
• Remaining up to date with HR regulation changes, news and best practices and proactively share this information with the HR team
• Proactively bringing in new ideas to streamline or update processes, find efficiencies and enhance the services to staff and managers
• Independently managing or supporting the team on other ad hoc talent projects

Reporting Relationships
Reporting to: the Head of Talent
Work closely with: the broader Talent and House team, the Board and the Senior Management teams, as well as being a main point of contact for employees

Qualifications, experience & skills:
The successful candidate will have:

• Strong academics; degree level qualification or above, preferably within HR, is essential
• Additional HR qualifications (e.g. CIPD) would be beneficial
• Experience working in a prior HR administration role including talent acquisition/recruitment activities is preferable
• Experience working with HRIS and Microsoft Office
