Job Introduction

Our Team:

You will be working within a small friendly team of hardworking, dedicated HR professionals, partnering to support both Publishing management teams and employees on all aspects of HR disciplines across a multisite, matrix business.

The Focus of the Role:

To provide comprehensive support to the HR Publishing department in the daily administration of its activities and in various tasks which successfully supports the employee lifecycle, achieves a positive experience for all and ultimately delivers a high-level HR service to the Publishing business. In this position you will serve as a liaison between the Central HR Administration department, HR Publishing department, Publishing management teams and employees; to assist in the delivery of an efficient and customer responsive HR service and for effective communication, ongoing process improvements and employee issue resolution.

Role Responsibility

• Assist in the provision of a customer orientated service for all enquiries to HR assisting HR Admin team with non-routine queries, handling own HR enquiries (by Teams/phone, email and face to face), passing more complex enquiries onto appropriate members of the HR team.
• Successfully oversee the administration of family friendly processes including maternity/paternity/adoption & shared parental leave process, to ensure a positive employee experience is achieved through the adoption of high-level customer service, timely and effective communication together with the provision of accurate information via the HR admin team to both the employee and management teams,
• Support HR Admin team with information from HR and/or Managers to ensure that all HR related administration is processed accurately, efficiently, and in accordance with SLA’s, helping to unblock problems or data gaps and to step in when complex or tier two issues arise.
• Assist with the onboarding process of new employees
• Support the HR Admin team in their Production of standard letters for employees, including promotions, maternity, salary increases and flexible working confirmations, where non-standard or where complex situations arise and follow up to ensure signed copies are placed on file.
• Assist in the co – maintenance of all shared trackers ensuring appropriate and timely action is taken in respect of leavers, overpayments, fixed term contracts, vacancy list, visas, maternity, and flexible working etc to ensure data is up to date and accurate
• Assist in building a positive culture and actively develop knowledge and skills to successfully embed and promote the use of the People Resource Centre and new Group HRIS – People Source.
• Attend meetings as required to take notes including Probation Reviews, Disciplinary Hearings etc.
• Support with arrangements for conducting Exit Interviews
• Keep employee files up to date with all relevant HR information, ensuring accuracy of information on file and GDPR requirements are met.
• Undertake file audit to ensure GDPR compliant
• Other ad-hoc projects, HR or Talent Acquisition Development administration or duties as required.

The Ideal Candidate

• Experience in HR Administration
• Ability to understand policies and advise and support colleagues and managers with foundation level HR queries
• Knowledge of basic employment law and HR practices would be advantageous.
• Adopts a proactive, positive approach to work with a true customer focus.
• Excellent communication skills, both verbal and written, which achieves a positive employee experience and reflects the Company’s values namely excellence and trust.
• Proven interpersonal skills with a strong ability to build, develop and maintain working relationships
• Ability to present information accurately and clearly, demonstrating high attention to detail
• Ability to prioritise, organise and manage own diverse and complex workload
• Ability to work well under pressure and be comfortable dealing with ambiguity
• Experience in a professional and customer service led environment
• Ability to maintain the highest standards of confidentiality, satisfying GDPR requirements
• A team player who works collaboratively
• Ability to demonstrate flexibility in line with the business, and stakeholder needs
