HR Administrator – ANZ

• The role provides administrative and operational support to the dual-roled Head of HR – ANZ / Head of Talent – APAC. The duties will be focused on local support to the ANZ business and the operation of SuccessFactors, via data management, workflow execution, and supporting the payroll process, as well as assistance in the preparation and completion of Regional and Global HR Calendar activities including Talent Management, Annual Compensation Reviews, and Performance Reviews & Development Plan. Some support may also be called for from time to time to assist with HR and other business projects.
• Exposure to contemporary HRIS platforms such as SAP SuccessFactors or WorkDay is critical; SuccessFactors is strongly preferred.

• HRIS Management, ensuring full and accurate data is set up for each employee in SuccessFactors and that data in the payroll platform is maintained;
• Support HR processes on-site, acting as a point of contact for local HR admin and payroll queries;
• Administrative support to the Head of HR – Australia/Regional Head of Talent – APAC, including assistance in project execution, report preparation, and activity on the global HR Calendar;
• Provide HR support to site-based projects as required
• Front Line HR Support: Act as a point of first contact for HR queries on matters such as:
  • HR reporting, including leave levels, compliance reporting, customer compliance documentation;
  • Assist users in using SuccessFactors and Site ESS platforms
  • Direct Payroll changes to 3rd Party payroll provider and answer queries from employees on payroll items from time to time;
  • Support queries on company policies and announcements, including posting on boards and intranet
  • Other matters as requested
• HRIS Management
  • Manage all aspects of Country HR master data ensuring accurate entry into SuccessFactors (SF) and full compliance with global and regional data management processes;
  • Build and maintain SSOT (Single Source of Truth) spreadsheet (requiring multiple entries of data across several systems;
  • Enter new employees in Vendor Management System and other platforms as necessary
  • Establish new employees in Payroll platform and setup as necessary in Time and Attendance Systems;
  • Manage changes to data in various platforms, including new employees, reporting changes, cost center adjustments,
  • Conduct routine audits of data integrity, correcting identified data gaps as necessary;
  • Support with HR Calendar activities; Performance Reviews, Talent Completion, ACR data handling, training records;
  • Complete SF Workflows
  • Other tasks as assigned.
• Migration Administration
  • Mobility
    • Support migration applications and visa management activities as directed by Immigration Advisor;
    • Maintain VEVO and visa status awareness on sponsored ex-pats/assignees
  • Reward
    • Liaise with outsourced payroll provider as required on employee data;
    • Support communication and coaching to managers and staff during Annual Compensation Review process;
    • Handle weekly and monthly payroll adjustment advice to an outsourced payroll provider
• HR Administration & support
  • Coordinate employee onboarding activity including:
    • Individual Onboarding plans
    • Setting up IT requests for system access
  • Support Recruitment administrations including:
    • Posting advertisements on local job sites
    • Communicating with applicants and organizing interviews
    • Communicating with unsuccessful applicants
  • Maintain employees files
  • Prepare employment contracts
  • Conduct VEVO and other compliance checks on new employees
  • Coordinate Pre-employment medical screening for new employees
  • Maintain site Health & Safety and Onboarding packs
  • Liaise with new starters, provide pre-employment joining information packs and collect and store returned information
  • Liaise with other administrative support partners as relevant for the site and factory-related matters as required;
  • Assist in general HR day to day matters as they arise, including international visitor arrangements,
• Regional Talent Management support
  • Assist in the preparation of key regional activities as required, primarily in support of key HR Calendar events, such as Annual Talent reviews

• This role could be job shared and/or can be partly performed remotely; there is a requirement for at least 3 days per week physical presence on site.

• HRIS Data management experience preferably SuccessFactors;
• Strong Excel and MS Word capability, particularly in data sorting, PIVOT tables, and Data checking;
• Good numeracy;
