The Executive Administrative Assistant performs complex secretarial duties at the highest secretarial level in the organization. The position provides assistance to the President, Chief Operating Officer, Chief Financial Officer, and other members of leadership as directed. The Executive Administrative Assistant must be able to work efficiently, professionally, and with minimal instruction or supervision to accomplish designated tasks.
Responsibilities:
1. At the direction of the executive staff, will provide assistance as needed with correspondence, memoranda, etc. Will be responsible for proofing all correspondence for accurate grammar, punctuation, and presentation then submitting such correspondence for executive review, signature, and dissemination.
2. Prepares agendas, meeting notebooks, handouts, and various other types of requested materials.
3. Responsible for establishing and maintaining official documents and records in appropriate files.
4. May be asked to attend some meetings, seminars, etc., possibly to take notes or furnish information.
5. Will be responsible for planning and coordinating meeting dates, locations, travel arrangements, meals, and accommodations for all attendees.
6. Must be able to prioritize job responsibilities and multi-task as necessary to ensure that all duties are completed.
7. Performs such other duties and special projects as may be assigned.
Knowledge, Skills, and Abilities:
1. The Executive Administrative Assistant must be able to function at a high-level with Microsoft Office, PowerPoint, Excel, Internet Explorer, Outlook Express, various other software programs, and computer applications. Likewise, must be able to utilize standard office equipment such as: a fax machine, copier, scanner, 10-key, etc.
2. Must possess a thorough knowledge of policies and procedures which guide the company and the ability to understand and interpret pertinent policies and procedures clearly and accurately.
3. The ability to establish and maintain effective working relationships with supervising personnel, co-workers, subordinates, business professionals, and the general public.
4. The ability to project a positive and professional image while working in a fast-paced and demanding position.
5. The ability to communicate effectively verbally and in writing.
6. The ability to organize, coordinate, schedule and oversee multiple travel arrangements for a variety of individuals within the organization. At times, multiple arrangements must be made for meetings and events within the company.
Education and Experience:
1. Associate’s Degree or higher in Office Administration or a related field of study strongly preferred.
2. 5+ years previous work experience as a senior level executive assistant, with preference given to those individuals with healthcare-specific knowledge and administrative abilities.

4. Must be proficient in Microsoft Excel, Word, Outlook and PowerPoint.
