We are a non-profit human services agency making a meaningful difference in the lives of adults and children with autism and other disabilities. We are currently seeking a Finance Associate to be responsible for processing Accounts Payable in addition to other financially related tasks on an as needed basis. Responsible for the timely and accurate processing of accounts payable for the state of Massachusetts within the Aspire Living and Learning agency. This position has the ability to work remotely, the majority of the time. However, some in-office time will be required weekly.

JOB DESCRIPTION

• Process accounts payables for MA State agency programs
• Perform purchasing functions, i.e. ordering of office supplies and program specific supplies
• Process and reconcile, weekly, program debit card program
• Perform administrative and clerical tasks, such as data entry, maintaining vendor files and ensuring there is appropriate backup documentation for all purchases
• Assist Finance Department and Corporate office with selected projects
• Assist Senior Managers with various accounts payable requests
• Updating vendor information as necessary; reviewing on a quarterly basis
• Ability to work in a team environment as well as working independently
• Be willing to cross train within the department
• Other duties as assigned

RESPONSIBILITIES

• Perform accounts payable duties such as; processing billing, and entering into Great Plains; vendor maintenance, ensuring vendors have appropriate documents (W-9); collection of receipts as backup documentation for payments
• Proficient in the Agency’s Business systems (Great Plains)
• Review, research and reconcile, any accounts payable or vendor issues
• Maintain records of all financial documents with appropriate supporting materials. Update records as necessary.
• Proficiency in Microsoft Office products, especially Microsoft Excel
• Recommends, designs and implements any necessary procedures, with assistance from the Director of Finance and, when necessary, other members of the Finance team.
• Assist the corporate office in preparation of month-end close on a timely basis, as well as assisting in audits including; preparing schedules, supplying requested invoices, providing explanation of supporting materials and procedures and preparing any other necessary data.

Preferred qualifications

• Associates or Bachelors
• one to two years experience working in a similar position
