Job Overview:

This position is responsible for quality and integrity of all Patient Access processes and staff in all areas of Aspen Valley Hospital District. This may include, but is not limited to, multiple functions related to the entire patient encounter, daily monitoring, running and compiling EPIC s, review and ing of specific industry standard criteria, and complete accuracy of patient data collection. This position is aware of and ensures good practice with all Patient Access Compliance criteria related to the positions within the department. This position s to the Patient Access Director and conducts audits of patient accounts ensuring that each item is accurate and complete including demographic information, supports staff in front end cash collections activities, provides routine education on patient access processes with focus on improvement. This position works with all AVH Departments, including Therapy Services, Primary Care Clinics, and Specialty Clinics to provide oversight, feedback, and continuing education on Patient Access processes, including but not limited to obtaining complete and accurate patient demographic, billing information (including ABN’s and insurance authorizations, insurance waivers, Preauthorization’s) providing streamlined customer service between Scheduling, Pre-certification, Registration, Billing and other hospital departments, and triaging/resolving staff issues and questions regarding work queues, RTE, and patient access workflows. Coordinates and monitors training of new staff in the hospital and clinics with regards to patient access functions. Coordinates, delivers, and tracks ongoing patient access education to the staff in all patient access areas. Work as a liaison to billing for corrections needed for insurance for proper billing and reimbursement and using this information to provide training to reduce errors and denials as a result of patient access processes.

Primary Scope of Responsibilities:

• Quality Improvement – Provide oversight and guidance to all registration and scheduling areas of hospital including, Therapy, Primary Care and Specialty Clinics, to assess, , and train on patient access functions. Compile and analyze EPIC s with a focus on process and quality improvement. Work with IT on ticket resolution impacting workflow and issues impacting registration, scheduling, and pre-certification. Work as liaison with Billing department on denial management for patient access related issues and provide education to staff to reduce denials. Proactively monitor payer issues to provide feedback and education to the teams.
• Personnel Support and Education – Available to assist staff with questions and issues. Work with IT on issue resolution as it pertains to systems barriers. Proactively monitor s in EPIC to identify educational needs. Function as EPIC Super User and Trainer. Work with all areas in hospital to onboard new registration, pre-cert, and scheduling staff once they are cleared by IT. Cover shifts as needed for vacations and absences.
• Fiscal Responsibility – Leads staff in Front End Collections in all areas. Works with Pre-certification and registration to ensure estimates are complete and accurate, signed by patients, and conform to regulatory guidelines. Educates staff on proper workflow for HDC screening and compliance. Works with all Patient Access Staff to ensure time-of-service payments are accurate and patients are aware of their financial responsibility prior to arrival to facility.
• Regulatory & Accreditation Compliance – Implement and provide education on all department policies and procedures.
• Staff Development – Ensure staff members are aligned with department goals of obtaining complete and accurate data collection, acquiring and maintaining patient access knowledge and point of service collections. Provide continued educational opportunities to support those goals.
• Departmental Quality & Performance Improvement – Develop and implement strategies to continually improve quality and performance of the department as it relates to the mission and goals of the organization.
• Works closely with other departments to make appropriate corrections when needed. Works EPIC work queues, specifically follow up and DNB work queues for all areas of hospital. Train staff on working queues and educate on issues to prevent work queue population.
• Completes and reviews daily s and confirms daily registrations are accurate. Makes corrections before the registration hits final billed status to ensure all necessary information is accurately captured on each encounter.
• Assists with customer service training, coaching, and handling complaints.
• Available for call rotation as set by Patient Access Director to ensure availability for department needs, issues, and questions from admissions team as well as other departments. May be needed to cover shifts in times of vacancies or staffing shortages and call outs.
• Knowledgeable of all hospital policies and regulations, governmental regulations applicable to Patient Access.
• Supports Patient Access Director with projects as assigned.

Minimum Qualifications:

• 2-5 years’ experience in a hospital setting and knowledge of Patient Access processes, policies and procedures.
• Ability to concentrate and show attention to detail
• High degree of analytical abilities
• Strong interpersonal skills required
• Ability to work independently
• Ability to read and communicate effectively in English

Education/Certification Requirements:

• High School diploma or GED equivalent.
• Degree in business or other related field preferred.
• CHAA or CHAM certification preferred or acquired within one year of employment.

Pay range for new hires: $28.23 – $36.70/hr
