Job Overview:

The Employee Benefits and Wellbeing Director position is responsible for directing and planning the day-to-day strategy and operations of group benefits programs and wellbeing programs at AVH (group health, dental, vision, short-term and long-term disability, FMLA, worker’s compensation, life insurance, accident plan, flexible spending plan, retirement plans, wellbeing program, PTO, leaves etc.). Collaborates with CHRO on strategic benefits and wellbeing planning, and supervises Benefits, Wellbeing, and Recognition teams. This position provides excellent customer service and designs quality benefits plans, and ensures that our Benefits offering is best positioned to both attract and retain the best talent in the marketplace. The Director continually investigates new benefits programs, improves existing programs, and monitors benefits administration. In addition to serving as the primary go-to person at AVH, this Director also reserves 20% of her time to serve as the primary Health & Wellness expert for the Valley Health Alliance (VHA), and supports their leadership team accordingly.

Primary Scope of Responsibilities:

Employee Benefits (40%)

• Serve as primary contact for plan vendors and third-party administrators.
• In this capacity as the primary point of contact for AVH with our Benefits Broker, this Director will research and deploy employee benefits plans and vendors to identify those that present the best value.
• Design, recommend and implement new benefits programs. Examine possible plan designs and benefits cost changes.
• Coordinate transfer of data to external contacts for services, premiums and plan administration.
• Evaluate and revise internal processes to reduce costs and increase efficiency.
• Document and maintain administrative procedures for assigned benefits processes.
• Ensure compliance with applicable government regulations. Ensure timeliness and accuracy of required reporting and fees.
• Coordinate daily benefits processing. Handle enrollments, COBRA, terminations, changes, beneficiaries, disability, accident and death claims, rollovers, QDROs, leaves, distributions, loans, and hardships as appropriate.
• Oversee maintenance of employee benefits files, maintain group benefits database and update employee payroll records.
• Own all aspects of the Employee Recognition Platform, and all forms of recognition, annual service awards, and retirements, and related customer support.
• Survey industry trends. Complete benefits surveys and review information obtained from the results. Analyze complex benefits information. Forecast trends and assist with future benefits designs. Develop specific recommendations for review by management.
• Monitor administrative costs of benefits programs and recommend cost containment strategies, including alternative methods for administration and funding. Prepare budgetary recommendations and assist in the monitoring, verifying and reconciling of budgeted funds.
• Provide customer service support to internal and external customers. Develop communication tools to enhance understanding of the company’s benefits package.
• Design the process for, and distribute materials related to benefits orientations, open enrollment and summary plan descriptions. Provide training and support as needed.
• Administers FMLA/ADA and employee leave program. Works with employees to coordinate leave, assure regulatory and policy compliance.
• Updates employee records with status & payroll changes; provides data to payroll on a bi-weekly basis.
• Oversees HR Coordinator in administration/coordination of benefit billing, Virgin Pulse platform administration, Wellbeing program challenges, Mental Wellbeing program, term of employee benefits, and Recognition solution support.

Total Worker Health: Wellness & Workers Compensation (40%)

• In alignment with hospital goals and management, develop and implement annual strategic plan for Wellbeing Program including Heath Risk Assessment, Biometric Screenings, Employee Interest Survey, and activities/incentives to align with company strategy of being a nationally-leading wellness location
• Develop, maintain, and update policies and procedures for the Employee Wellbeing department, and Workers Compensation annually and as needed, as well as periodic cost containment renewals.
• Serve as Wellbeing Website Administrator and oversees daily operations and maintenance of platform, and intranet site,
• Prepare summaries and written reports required for internal.
• Oversee others in relation to employee wellbeing activities and projects
• Maintain operating budget, budget documentation and facilitate reimbursement for employees, payments to vendors, and payments for year-round incentive program prizes. Prepare and submit budgetary needs on a yearly basis per hospital guidelines
• Conduct informational meetings as they relate to the Employee Wellbeing Program, including open enrollment and new employee orientation
• Maintains knowledge related to worksite wellbeing, prevention research and best practices
• Work with Hospital Management to promote the wellbeing program and engage employees.
• Coordinates hospital Workers’ Compensation and Return to Work program.
• Attends bi-monthly Safety Committee meetings as needed.
• Evaluate WC accident reports and file with insurance in a timely manner: Compile facts and data regarding accident, investigate manager’s report and review medical reports. Monitor follow-up medical care and procedures and administer periods of lost time and/or modified duty.
• Coordinate with Employee Health Practitioner to develop trainings and programs which foster safety and total worker health, and identify patterns of injury and determine whether unsafe conditions contributed to the accident. Follow-up with engineering department to correct identifiable problems. Arrange for worksite evaluations and implementation of recommendations that result.
• Co-ordinate with department managers on departmental safety trainings and dissemination of safety information sheets.
• Maintains current knowledge related to Workers’ Compensation regulation.

Population Health Strategist – Valley Health Alliance (20%)

• Work with VHA Benefit Consultant and develop and implement strategic plans for VHA HR working group and Wellbeing working group
• Work with VHA ED and CCA and identify and address care gaps within the employer populations and health plans
• Analyze health plan claims data and biometric data
• Facilitate VHA HR working group meetings and VHA wellbeing working group meetings
• HR representative at CAB meetings, and close gaps between CAB efforts and HR strategy
• Provide monthly VHA HR board update
• Assist in the development and implementation of communication plan for self-funded employers including open enrollment and other educational campaigns
• Manage Employer Bench Marking Tool
• Foster relationships between the VHA organizations and appropriate external vendors

Minimum Qualifications:

• 7-10+ years Benefits Administration and Coordination required, including health promotion,
• Recognition experience preferred
• Project and team leadership skills and experience preferred; ability to develop HR talent
• Strong analytical, organizational and communication skills
• Relatively high degree of analytical abilities
• Strong interpersonal and customer service skills required
• Ability to work independently and in a team environment
• Ability to read and communicate effectively in English

Education/Certification Requirements:

• Bachelor’s Degree in HR, Health Promotion or other related field preferred
• PHR, SHRM-CP and CEBS preferred

Pay range for new hires: $90,688 – $117,936
