About this career opportunity…

This is an opportunity to undertake a varied and challenging role in the new virtual Finance Operations Team. Key to the role will be working with the finance and project teams to support on finance related activities, as well as actively participating in finance projects and continuous improvement activities within Finance Operations and the wider business.

Role

• Undertake the activities associated with the cyclical accounting process, and investigate or escalate issues as appropriate.
• Prepare fee invoices, ensuring timely and accurate invoicing to clients. Assist with ensuring monthly invoicing and cash collection targets are met.
• Clear outstanding items before month-end, eg timesheets, cash allocation, transfers, and check non-billable numbers, general ledger, etc actioning as appropriate.
• Monitor outstanding timesheet balances and aid in the process of ensuring that project timesheets are submitted punctually.
• Assist with monitoring and analysing monthly results, including overheads & cash, following up on anomalies and variances.
• Support with monitoring the financial performance of projects, including income against costs, WIP and cashflow.
• Review project forecasts with project managers regularly, and support with updating PFF as appropriate.
• Assist Project Managers/Leaders in using Arup systems, eg electronic expenses & timesheet submission, CRM, PFF and PaT (Global Resource Management tool).
• Ensure information in financial systems is correct, eg CRM and Ovaview.
• Review pipeline activity and ensure that job number applications comply with protocols.
• Undertake general financial housekeeping activities, such as checking dead job numbers and performing time and expenses transfers as required.
• Monitor shared Mailboxes, resolving or escalating queries.
• Understand and ensure adherence to Arup’s financial processes and systems, liaising as appropriate with PMs, PDs appropriate with FBPs, PMs and PDs.
• Support with Accounts Payable processes and topics, liaising with approvers and GFSS AP as necessary to ensure prompt approval and on time payment of suppliers.
• Work with Training Lead to provide financial training and support to Finance, Project Managers and other staff on Arup Financial processes and software eg CRM, PaT (Global Resource Management System), PFF, Fee Portal, Concur, and Infor (timesheets).
• Support and participate in business and finance projects and other ad hoc activities as required.

Requirements and skills

• Essential Skills and Knowledge
• Good numeracy and literacy skills and digital awareness
• Good knowledge of Microsoft packages
• Good knowledge of standard finance processes / procedures and systems
• Ability to present data and provide clear and concise narrative / explanations.
• Can explain project financial principles.
• Strong analytical skills, with the ability to challenge and explain financial information, systems and processes to a variety of audiences.
• Excellent communication skills and able to collaborate and build relationships with stakeholders, including project teams, local groups, Finance Business Partners and the wider Finance community.
• Attention to detail, with ability to see the big picture.
• Proactive approach, with the ability to anticipate and pre-empt problems and identify improvement opportunities.
• Ability to cope with deadlines.

Qualifications

• Ideally a finance or business-related degree, but minimum of 3 A levels or equivalent at Grade C or above.
• Ideally working towards a professional accounting qualification (AAT, CIMA).
