General purpose of the job

Perform administrative functions for the facility that will include support for the Plant Operations/Safety administrative tasks, and plant payroll/onboarding support.

Individual Accountabilities

Production and Shipping Support

• Track and record all raw materials and alternative fuels brought in plant on manual spreadsheets.
• Receive raw materials and alternative fuels in SAP.
• DOR data entry of raw materials in Plant Focus.
• Match raw material invoices to my spreadsheets and send to AP for processing.
• Track, record, receive and process any incoming vessels for raw materials.
• Reconcile daily cement shipments between Order Management and SAP.
• Work with CVC for discrepancies of shipments: returns, voids, off-setting entries.
• DOR data entry of daily shipments in Plant Focus.
• Send customers copies of BOL’s as requested.
• Record and file any return loads brought back to plant on spreadsheet for future reference with CVC.
• Run month end s after all receipts and data entry have been completed for cement load out and raw materials.
• Track, record and invoice customers/materials/Quarry as needed for departmental managers.
• Reconcile P-Card transactions (Month end).
• Purge cement BOL’s, raw material BOL’s and misc paperwork. Record box numbers and move to offsite storage unit.
• Enter P-Card Purchases with work orders in SAP.
• Enter P-Card Purchases charged to Business Unit.
• Process check request and rush payments.
• Receive invoices as needed for departmental managers.

General Office

• Distribute incoming faxes and mail (letters and packages) and prepare outgoing mail for shipment and arrange for pickup.
• Organize/order lunches for visitors, special events and training in coordination with managers and training coordinator.
• Assist plant manager and other staff members with various requests.
• Maintain “the Receptionist” system, along with employee contact list and gather site specific info.
• Manage Pest control contract.
• Process payments for elevator certification, MSHA fines and others.
• Replenish and maintain administrative buildings office supplies.
• Travel arrangements as needed.
• Submit out of pocket expenses for employees.
• Collect daily paperwork from guardhouse and file.
• Provide support to Plant manager as needed.
• Communicate with local schools/businesses/athletic groups requesting sponsors/donations.
• Record and submit any and all community relations items approved
• Process payments for donations.
• Participate in events to support the community.
• When making donation, if vendor is not setup in SAP then have vendor setup.
• Other duties as assigned.

Education

High School Diploma or Equivalent

Technical knowledge and certifications

• Accounts Payables.
• Must possess good working knowledge of Microsoft Office productions (Word, Excel, PowerPoint and Access).
• Must possess aptitude for other computer systems and packages. SAP a plus.
• Must be able to work as part of a team to ensure continuous improvement in their functional area as well as the overall plant operations.

Area Of Experience

Minimum 3 years’ experience in an administrative assistant or similar position.

Languages

English: C2: Advanced – Native

Annual Salary Range from $42,006.18 to $58,341.92
