The Talent
We’re looking for an Executive Assistant to support our Chief Executive Team. The dynamic nature of this role requires that the ideal candidate have exemplary time management skills and the ability to identify and anticipate the Executive team’s needs. The role must interact seamlessly and with a professional demeanor across a broad range of individuals including members of the Senior Management Team and leaders that to our Executives. To perform this job successfully, the individual is expected to handle highly sensitive and confidential information while exercising professionalism and discretion.
The Commitment
A detail-oriented self-starter with prior experience in the IT services industry or with a technology team
Manage the executives calendar by scheduling and coordinating appointments, meetings, conferences, and travel arrangements. Prioritize appointments based on urgency and importance.
Organize and facilitate meetings, including preparing agendas, gathering relevant materials, and recording meeting minutes. Follow up on action items to ensure timely completion.
Arrange domestic and international travel for the executive, including booking flights, accommodations, transportation, and creating itineraries.
Organize and support company events, conferences, and other executive-related functions.
Assist in preparing s, presentations, and other documents for internal and external distribution. Ensure accuracy and professionalism in all materials.
Handle sensitive and confidential information with utmost discretion, maintaining a high level of professionalism and trustworthiness.
Build and maintain positive working relationships with other team members, stakeholders, clients, and external partners. Serve as a point of contact for inquiries related to the executive’s office.
Assist the executive in managing priorities and deadlines, ensuring that important tasks are completed on time
Conduct research on various topics to provide valuable insights and support decision-making processes.
The Essentials
Proven experience as an Executive Assistant or in a similar administrative role supporting high-level executives.
Excellent organizational and time management skills, with the ability to multitask and prioritize effectively.
Strong communication skills, both written and verbal, with the ability to interact professionally with diverse stakeholders.
Discretion and professionalism in handling sensitive information and maintaining confidentiality.
Proficiency in office software such as G-suite, Microsoft Office (Word, Excel, PowerPoint, Outlook) and collaboration tools.
Problem-solving skills and the ability to proactively address challenges.
Detail-oriented and proactive in anticipating the needs of the executive.
Flexibility and adaptability in a fast-paced and dynamic work environment.
A team player capable of cultivating productive working relationships across the firm
Resourceful, can-do attitude, strong work ethic, and a team player mentality.
Amenable to work on Hybrid work set up.
