Job Description:

Amherst College invites applications for the Housing &
Operations/Community Safety Assistant position. The Housing &
Operations/Community Safety Assistant is a full-time, year-round
position, starting at $20.93/hour – commensurate with experience.

The Housing & Operations and Community Safety Assistant is the
first point of contact for the Housing and Operations, and
Community Safety teams. This position frequently interacts with a
highly diverse group of students, staff, and families/guardians in
a very fast-paced environment. The Housing & Operations and
Community Safety Assistant provides administrative support,
including managing the teams’ emails, phones, and web pages as well
as performing student housing-related support tasks and community
safety tasks. The Housing & Operations and Community Safety
Assistant is a mandated reporter. All members of the Division of
Student Affairs are active members in fostering a diverse
workforce, improving diverse student experiences, and participating
in the College’s efforts to create a respectful, inclusive, and

tasks.

Summary of Responsibilities

General Office Support (Communications, Reception, and Website
Development)

• Welcomes a diverse group of visitors and answers phone
• Responds to email and voice messages
• Updates office correspondence documents for the current
  operating cycle for each term
• Assists with the production of office brochures/marketing
  materials (posters, flyers, door hangers, etc .)
• Updates and edits the webpage
• Provides administrative support for the Housing and Operations
  Team and the Community Safety Team
• Supervises student staff team, including: hiring, scheduling,
  and workload management
• Assists with purchasing, invoicing, and recording financial
  transactions

Operations Support

• Assists with the organization and coordination of the
  move-in/move-out processes
• Manages key inventory, including spreadsheet and database
  maintenance, key issuance and receipt, and lost key billing
• Co-coordinates storage logistics for on-campus storage and
  off-campus storage in collaboration with off-campus storage
  vendors
• Assists with room condition records processes including
  year-end damage billing
• Coordinates day-to-day oversight of respite room maintenance
  (in coordination with Custodial Services)
• Oversees issuance of temporary proximity access cards,
  including their receipt and termination

Housing Support

• Maintains rosters (daily or weekly as required) and produces
  requested reports (paper or digital), and updates rosters weekly
  for colleagues across campus
• Processes room changes including adjustments in housing
  database; prepare and receive room keys and communicates with
  students
• Maintains data integrity and the adjustment of room and student
  information in StarRez housing records system
• Assists in creating/sending correspondence for the office,
  making use of StarRez system
• Interfaces with the American Communities Survey

Community Safety Team Support

• Assists with purchasing, invoicing, and recording financial
  transactions
• Assists with the implementation of safety-oriented programs in
  residence halls and about campus
• Assists with the creation and preparation for distribution of
  visual and web-based educational materials

Qualifications

Required:

• Associate’s degree or high school diploma or
  equivalent
• 3 years of related experience
• Proficiency in Microsoft Word, Excel, and Google Workspace
• Strong written and verbal communication, interpersonal,
  organizational, and time management skills
• Commitment to or experience working with a diverse
  community
• A criminal offender records information (CORI) check that
  yields an acceptable result
• Ability to exercise discretion, judgment, and privacy in a
  fast-paced setting
• Ability to effectively work either alone or in shared office
  space
• Valid driver’s license

Preferred:

• Bachelor’s degree in a related field
• Experience working in an educational setting
• Experience working with data management
