Summary of Key Responsibilities

• Managing all applicant tracking in an Application Tracking System (ATS)
  • Coordinating & facilitation of phone screens and in-person interviews with the HR team as well as individual hiring managers. This includes hosting candidates; providing onsite support during interviews and oversight of technology requirements, order catering, etc.
  • Handling all onboarding paperwork including background checks and non-disclosure agreements
  • Coordinating new hire orientations as needed and making sure all processes are compliant
  • Managing the background check initiation process and track status of all screenings
  • Monitoring candidates during onsite interviews maintaining a strong level of professionalism
  • Supporting the Talent Acquisition team in all administrative functions
  • Managing and processing candidate travel and expenses
  • Assist with the new hire process as needed.
  • General secretarial duties- Process all Purchase orders & new contracts for agencies when needed
  • Organize flow of work, prioritize tasks and activities and ensure that administrative functions are carried out in a timely and effective manner
  • Appropriately manage information of a highly confidential and critical nature
  • Establish strong business relationships with other administrative professionals internally in an effort to determine solutions swiftly.

  • Perform other duties as needed or assigned by Senior Director, Talent Acquisition

Qualifications

• Educated to degree level preferred
• Experience in recruitment and talent acquisition preferred
• Familiarity with an Application Tracking System (ATS) and pre-employment screening processes is preferred
• Previous experience working directly with clients; agency experience is desirable
• Experience of working in a customer facing organisation is essential along with a ‘can do’ attitude
• Excellent written and oral communication
• Must be fully proficient in MS Outlook, Excel, Word, Power Point and Outlook
• Able to organise work, establish priorities, set and meet individual and team goals
• Proven ability to collaborate across multiple departments/organizations and ability to navigate in an international environment
• Able to communicate effectively and professionally; Must be detail-oriented with strong organizational and collaborative skills; with the ability to prioritize own workload and to work without close supervision
• Able to exercise good judgment; solution-oriented across a variety of situations in a growing, fast-paced organization
• Fluent in English is essential; additional European language(s) advantageous
• Must hold a valid work permit
