Allied Eagle Transport, LLC Hiring for Accounts Payable/Office Assistant Full Time

Allied Eagle Transport LLC is currently seeking a skilled and knowledgeable Accounts Payable/ Office Assistant to join our Team.

Accounts Payable (A/P)

• Accurately process, code and enter Accounts Payable invoices & credits into the accounting system
• Ensure proper support documentation is received for processing expense statements & reimbursements for payment.
• Prepare & run weekly check runs as approved.
• Assures compliance with internal controls, policies and procedures.
• Process online payments to Vendors.
• Ensure timely payments of crucial accounts are made to avoid interruption of services.
• Assist vendors with requests & research discrepancies.
• Set up new and maintain all vendor accounts in the accounting system in accordance with IRS guidelines.
• Reconcile vendor statements and work with vendors to correct any discrepancies.
• Ensure a W-9’s is on file for all Vendors prior to any payment being made to the Vendor.
• Process & file accurately 1099’s at year end.
• Accounts Receivable (A/R) – only as a back-up/support associate.
• Receive field tickets, audit for accuracy and prepare for billing to clients
• Timely Invoicing multiple clients within the company’s multiple AR systems to companies accounting software, as well as the other billing systems Quickbooks & OpenInvoice.
• Maintaining the aging and do collections of past due accounts to ensure timely payment in order to maintain positive cash flow
• Audit Field ticket time with timesheets to ensure proper billing and payouts

Misc. other duties

• Provide supporting documentation as requested.
• Answer phone, route calls and take messages as needed.
• Actively and positively participate in process improvement initiatives. Assist in maintaining procedures and process documentation.
• Other duties assigned by Management

Job Type: Full-time

Pay: $18.00 – $22.00 per hour
