Office Assistant

ROLE: This position exists to support the Directors of Sales and Operations by executing and providing oversight on key day to day administrative activities. Collaborating with the Directors to bring about an orderly execution of work activities that serve the need of the organization, our vendors, and most importantly, provides extraordinary service to our customers.

HOURS: Monday-Friday, Regular Day Hours (40 hours/week) In office at our Wilsonville location.

RESPONSIBILITIES:

• Manage multi-line incoming calls and provide courteous, professional and consistent primary telephone greeting. We do not have a high volume of calls, and we have a low number of office visitors, so the majority of work is administrative in nature.
• Warmly and promptly greet and direct visitors:
• Provide general administrative and clerical support:
  • Maintain conference and meeting room schedule
  • Coordinate mail flow in and out of the office; ship and collect parcels.
  • A/R Billing.
  • Filing and organization.
  • Provide support for employee birthday and work anniversary recognition program in consultation with the Office Administrator.
  • Other duties as directed.
• Encourage a collaborative, team-oriented work climate that supports our Statement of Purpose

CORE SKILLS & QUALIFICATIONS:

• Must be able to communicate concisely and clearly in both written and verbal exchange with strong keyboarding skills.
• Significant experience with phone line systems, computer systems and Microsoft Outlook, Word and Excel software is a must.
• Experience with administrative or clerical activities and customer service is valued.
• Proven attention to detail, accuracy of work, and commitment to quality
• Passion for driving change and delivering results through commitment to operational excellence and continuous improvement, taking initiative to improve systems and processes

• Productivity/Initiative: Participates in departmental process improvement. Takes responsibility to lead small initiatives. Consistently meets or exceeds work deadlines.

EDUCATION REQUIREMENTS:

• Must have a high school diploma.
