Department purpose

The HR Support Service Centre at Allen & Overy provides a first class service to the firm, offering high quality administration support services through a range of specialist teams including HR Advice, the HR Systems Helpdesk, Resourcing, Graduate Recruitment, Payroll & Reward, Training Events and Global Mobility.

Role purpose

As part of your placement you will spend the year learning how the business operates, the key work streams and relationships in HR, our client groups and the culture of the business. You will gain a variety of skills and breadth of experience as you participate in a minimum of two seat rotations to facilitate your learning about the employee lifecycle and associated HR events, namely in HR Advice and in the field of Resourcing. The role will primarily focus on London and Belfast activities and events but may extend to supporting the international offices on an ad hoc basis. Working across core HR processes will provide you with practical HR experience that will equip you to think differently and embrace an exciting future: one that’s filled with unique challenges and a broad range of opportunities.

Role and Responsibilities

During your placement you will complete two rotation across the HR Advice and Recruitment teams.

HR Advice

• The HR Advice team provides timely and accurate generalist administration support to A&O’s HR processes relating to Performance Management, Client Secondments, Terms & Conditions, Leave, Absence and Exit processes. The team also provides the HR administrative support to the HR Trainee Team in London and are the key contact for the current and future Trainee population.
• Provide administrative support across a number of key HR processes
• Receive and manage HR cases via a service management tool, emails and telephone, answering queries and escalating where necessary to maintain the most effective and efficient service possible
• Maintain all relevant employee data and files in line with data protection protocols
• Support the HR Managers and HR Specialist teams in the generation, distribution and collation of annual HR processes and events.

Recruitment

• The central Recruitment Administration team provides an efficient and effective recruitment administration service for the UK Resourcing and Graduate recruitment teams’ processes.
• Managing and tracking vacancies via the Automated Recruitment System
• Scheduling of interviews, both candidates and panel members
• Providing on boarding support, preparing documents for offer of employment, arranging induction and first day letters
• Coordinate internal and external student events and respond to related queries and requests from key relationship teams, partners and candidates
• Organising and coordinating our firm-wide attendance at, campus events throughout the year including Careers Fairs and Presentation Evenings. This includes liaison with universities across the UK and Ireland
• Ad hoc project work as and when required.

Key requirements

• Current second year Ulster University student enrolled on the Human Resource Management course and due to complete a placement starting in August 2023.
• Suited to a candidate with exceptional administrative skills and attention to detail with a willingness to learn.
• Ability to develop and maintain strong relationships both with internal and external clients – good influencing and negotiation skills
• Ability to work to multiple deadlines, juggle projects and deliver under pressure
• Enthusiastic, pro-active, persistent, robust, with a commitment to getting the job done
• Professional in outlook, attitude and appearance
• Computer literate with exceptional knowledge of Word, Excel, PowerPoint and Outlook
• Flexibility to support outside of standard working hours when required (e.g. Recruitment events)
• Willingness to travel and be present at London/Careers Fairs events when required.
