We are looking for an experienced Office Coordinator to join our team in Portland, OR. The ideal candidate is a detail-oriented team player with excellent written and verbal communication skills, is proactive with their support when needs arise or when something needs to be taken care of, and someone who thrives in a fast-paced, occasionally high-pressure environment.

This role will support the Branch Manager by assisting with and helping to complete day-to-day operations, communicating with customers to schedule inspections and familiarizing them with our business, and internally communicating with the field technicians on inspection/job needs, updates, and follow-ups.

This is a full-time non-exempt position ing to work Monday through Friday, 7:30 AM – 4:00 PM.

Hourly pay: $20-24 per hour depending on administrative and/or industry experience.

Essential Job Functions:

• First point of contact for assisting customers, whether over the phone or for walk-in services;
• Responsible for maintaining and updating customer databases across multiple platforms for tracking and inspection preparation;
• Scheduling inspection and repair appointments and assisting customers with any post-inspection needs;
• Checking in and out with technicians after jobs to confirm job status, if any parts are/were needed, and all services completed;
• Communicating with purchasing to request standard inventory stock orders on a regular basis;
• Assisting with new construction permit applications and the follow-up management that comes with them;
• Planning for and executing monthly safety meetings and documentation;
• Maintaining aesthetic of the office, and replenishing office, cleaning, and kitchen supplies;
• Maintaining and working with purchasing to order stock, shop equipment materials, and technician field materials;
• Set up and register for any trade shows/fairs that we are participating in or attending;
• Act as point person for any necessary building, utilities, IT, or HVAC inspections and/or services needed;
• Register and maintain all technician certification and training;
• Assist in registering for and execution of participating in multiple vendor fair/trade shows;
• Assist Human Resources with the onboarding and orientation of all new employees for the Portland branch;
• Project-based tasks to support Branch Manager as needed;
• Other duties as assigned.

Qualifications:

• High school diploma;
• Proficient in Microsoft Office and experienced with learning new software and computer programs/databases quickly (experience with ServiceTrade is a plus);
• Ability to be friendly and helpful to all customers over the phone and in-person;
• Great team player, assisting where help is needed and collaborating well with others;
• Fast learner who can pick things up quickly and perform tasks efficiently;
• Ability to be self-directed and prioritize tasks to get things done on time;
• Dependable, reliable, and punctual.

Physical Requirements:

• This position requires sitting for most of the day in front of a computer at our office location in Portland.
• Requires ability to be able to regularly lift/move items weighing 30+ pounds.
