How do you fit in?

The Talent Acquisition Coordinator is responsible for providing administrative and project assistance to the talent acquisition and Human Resource teams. This includes performing various administrative functions such as, completing new hire paperwork both internal and external, conducting post-offer drug screens, scheduling post-offer physicals and technical testing, maintaining data in the applicant tracking system (ATS), and posting internal and external jobs. This role also supports and administers the company’s uniform program which includes, orders, returns, terms, and billing reconciliation.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

• Assist the talent acquisition team in maintaining staffing levels based on company needs.
• Assist with ensuring efficient and effective flow of talent acquisition processes and process improvement.
• Follow job requisitions through the approval process, review for accuracy, and track.
• Post open positions on external job boards and internal sites.
• Collect, complete and maintain internal job applications using current processes and procedures.
• Generate offer letters, coordinate and schedule with manager any additional testing and physicals as required.
• Assist with planning and preparation for job fairs, attend job fairs and other talent acquisition events.
• May conduct screening interviews as needed.
• Coordinate and oversee the administrative functions of the company’s uniform program and utilize excellent follow-up skills to work with managers on all uniform orders, changes, terms and track other customer service issues as they arise and help to resolve.
• Deliver exceptional customer service to candidates and hiring managers to ensure a consistent and rewarding onboarding experience.
• Use the applicant tracking system to log all applicant/recruiter/manager activity.
• Compose, deliver and extend job offers as assigned, including the dispositioning of candidates.
• Coordinate and complete onboarding activities for new hires such as: scheduling new hire paperwork and assist with completion, submit background checks, conduct drug screen, schedule physicals, uniform orders, and other additional testing as needed while communicating with new hire candidates and recruiting team.
• Complete new hire paperwork in compliance with State and Federal requirements and company policy.
• Compile information to create new hire files and entry into HR systems.
• Respond to general human resources questions and inquiries as they relate to talent management.
• Perform administrative work, as requested by the human resources team.
• Maintain confidentiality with all functions of the role.
• Reports SQF concerns to management.

QUALIFICATIONS:

• Associate’s degree preferred or equivalent work experience

KNOWLEDGE, SKILLS & ABILITIES REQUIRED:

• 2+ years of administrative experience working in a fast-paced, dynamic environment.
• Experience in high-volume recruiting preferred.
• General knowledge of HR laws and practices, especially those pertaining to EEO and recruitment, is critical to this role.
• Strong verbal and written communication skills.
• Positive, professional presence and demeanor, exhibiting exceptional customer service.
• Ability to interface effectively with internal and external customers, including employees at all levels of the organization and with diverse groups.
• Being bilingual is a plus!
• Must maintain high standards of ethical and professional conduct and adhere to strict confidentiality policies and procedures.
• Competency in computer software and skills, including Microsoft Office: Excel, Word, PowerPoint & Outlook, as well as ATS systems, such as Kronos Workforce Ready.
• Excellent prioritization, organization, and time management skills.
• Detail-oriented; must ensure a high level of accuracy.
• Willing to work cross-functionally with other teams within the organization.
• Must demonstrate initiative and deliver results.
• Maintain flexibility while working in a dynamic environment.
• Initiative to ask for and offer help as needed.

PHYSICAL DEMANDS & WORK ENVIRONMENT:

While performing the duties of this job, the employee is regularly required to sit; stand; walk; use hand dexterity to operate office equipment including computer keyboards; reach with hands and arms, and talk and hear. The employee must occasionally lift and/or move up to 15 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.

While performing the duties of this job, the employee may be exposed to moving mechanical parts. The noise level in the office work environment is typically quiet; when visiting the production floor the noise level may be loud.
