JOB DESCRIPTION

Job Title: Finance & Accounting Assistant

Location: Guildford

Working Hours: Full time – 35 hours per week

Reporting to: Management Accountant

Job purpose:

Assist with all finance procedures and processes and provide support to the Department.
Main Duties:
To include the following:

• Day to day administration, assisting in the finance processing of books of prime entry including: POP, Sales and Purchase Ledger, processing services & retail income, cash book entries and related banking transactions.
• Responsible for raising and processing sales invoices for all services.
• Responsible for the administration of credit control documentation for services.
• Administer voucher scheme for Surrey County Council.
• Processing card payments and direct debits.
• Process all petty cash requests and provide monthly reconciliations using the imprest system.
• Responsible for the direct debit process – documentation and running the ‘reality solution’ module to allocate to debtors and provide documentation for the bank to collect the funds.
• Responsible for recording and postings of bank movements in the Cashbook
• Cash handlining and Processing–process Cash/Cheque Payments received from various sources.
• Process credit notes/write off requests for Help at Home and refunds via cheques | BACS transfer.
• Download Addacs responses from Payment Services and updating Sage / Charity log and advise Help at Home team of any relevant information.
• Provide the Help at Home regional teams and Help at Home Manager with an up to date debtors report on a fortnightly basis
• Processing and supporting Accounts Payable and Accounts Receivable functions -raising Sales Invoices and processing Purchase Invoices, Staff and Volunteer Expenses of the charity.
• Assist with all finance related queries.
• Raising queries and liaise with customers, suppliers, and staff accordingly via email, letter and phone as appropriate.
• Using Excel spreadsheets, databases and Microsoft Office and Sage Accounting packages.
• Assist with the processing and control of payroll and pension schemes for Age UK Surrey, in line with legislation to ensure the charity complies with statutory return deadlines when needed.
• Provide cover for finance staff and support all staff with finance related queries.
• To carry out any other duties as requested by management for the efficient running of the Charity and Finance Department.
• Work in accordance with all Age UK Surrey and departmental policies and procedures ensuring service quality standards are met.

Person Specification:
Skills:

• Practical experience of Finance / book-keeping is essential
• Experience of Sage is essential
• Knowledge of banking, cashbook and data entry
• An aptitude for figures
• Administration skills
• Strong Organisational, communication and inter-personal skills
• Team worker and able to work on own initiative
• Adaptable and flexible
• IT skills, Microsoft Office & Excel essential
