Purpose of the role-
The purpose of this role is to provide a high level support with the organisation and running of the daily operations of the UK Office, while working closely with the Office Manager and Employee Experience Coordinator to provide excellent front of house service.
The Office Assistant is required to contribute to the coordination of all operational aspects of the UK Office, including hosting guests, liaising with suppliers and monitoring stationary and consumables. This includes actively seeking out administrative efficiencies and implementing new office processes as required. Superior communication skills, outstanding attention to detail, time management, an ability to manage various tasks at the same time, combined with the competency to foster excellent relations with others are all part of the position. As the Office Assistant you will be the face of the office and will build great rapport with all employees and teams.
A key function of the role will be the ability to host the variety of guests that attend the office each day in a confident and considered manner that aligns with Aesop’s values and approach. A high level of professionalism reflecting company standards is critical to the role.
Key responsibilities of the role include, but are not limited to:
Provide high level administrative support for the UK Office including general correspondence, emails, creating files, expenses, updating spreadsheets to Aesop standards
Coordinate travel requirements for staff as required
Assistance with hosting Board meetings and functional summits involving large groups of overseas visitors and coordination of their travel needs and agendas
Entering invoices onto our finance system
Actively screen and manage calls, directing calls to appropriate staff
Greet and host visitors demonstrating company standards
Work collaboratively with other Support and Admin staff to provide excellent seamless support service to the UK Office staff
Answer the front door and coordinate visitor movement within the office

Manage the distribution and collection of mail to the office
Ensure office opening and closing procedures are undertaken each day and that the general Aesop nature of the office is maintained
Ensure the general ambience of the office is always in keeping with company standard
Ensure meeting rooms are maintained to a professional standard and that all guests are catered for appropriately
Implement Aesop ways of working throughout the office
