Job Title : Office Assistant
Job Summary : As an Office Assistant, you will play a crucial role in maintaining the efficient day-to-day operations of the office.
You will provide administrative and clerical support to ensure the smooth functioning of the workplace.
The ideal candidate should be organized, detail-oriented, and capable of multitasking to meet the diverse needs of the office.
Key Responsibilities :
1. Administrative Support :
2. Answer and direct phone calls, take messages, and handle inquiries professionally.
3. Greet and assist visitors, clients, and employees in a friendly and welcoming manner.
4. Maintain and organize office files, records, and documents.
5. Assist in scheduling meetings, appointments, and conference rooms.
6. Handle incoming and outgoing mail and packages.
7. Data Entry and Documentation :
8. Input and update data in spreadsheets, databases, and other digital tools.
9. Prepare and format s, presentations, and documents.
10. Proofread and edit documents for accuracy and clarity.
11. Office Organization :
12. Keep office supplies well-stocked and order new supplies as needed.
13. Maintain a tidy and organized office environment.
14. Coordinate office maintenance and repairs when necessary.
15. Communication and Correspondence :
16. Draft and edit emails, memos, and other correspondence.
17. Distribute internal and external communications.
18. Assist with internal communication initiatives.
19. Reception :
20. Handle reception duties, including receiving and directing guests, answering inquiries, and managing the front desk.
21. Monitor and maintain office security by issuing visitor badges and managing access control.
22. Special Projects :
23. Assist with special projects or tasks as assigned by office management.
24. Collaborate with colleagues on team projects.
25. Technology :
26. Proficiency in using office software such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant tools.
27. Basic troubleshooting of office equipment and technology.
Qualifications :
Pay Details : $22.00 to $25.00 PER HOUR
