Job Description
The Finance Administrator reports to the Alliance Financial Controller and is responsible for ensuring all commercial and administrative aspects of Project Management are conducted in an efficient and timely manner, and with a high level of accuracy.
This will be achieved through directly performing some tasks, as well as conducting checking and reconciliation procedures to ensure that others in the Alliance and/or Company are undertaking and completing assigned tasks to the required standard.
The nature of the role requires close and regular interaction with Operations and Engineering staff across multiple project sites. So, building a rapport with our project delivery teams is key.
  • Perform and coordinate the daily tracking of project performance data (i.e. plant, labor, subcontractors and suppliers). This requires you to monitor and audit multiple projects in the Alliance and/or Company’s in-house project management system, providing a daily report to the Operations Manager on any missing data
  • Monitor and follow up on the daily recording of timesheet data by field staff, as well as directly performing timesheet entry (for importation into Payroll) in some circumstances
  • Obtain “New Project Start” forms from Engineers, set up the new job and enter the budget in our job costing, contract management and financial accounting system, and issue Bank Guarantees where required
  • Control the Bank Guarantee (BG) process, which includes the following tasks: liaise with the bank to issue BGs; issue BGs to Clients; maintain a BG register and reconcile to bank listing each month; and chase overdue unconditional BGs
  • Control the revenue process mid-month, reporting to the Financial Controller at month-end. This requires you to:
  • Liaise with Engineers to ensure that all progress claims and variations are entered into our financial accounting system on a timely basis, entering them yourself as required
  • Maintain an uncertified claims file and list, to be presented to the Financial Controller at month-end for posting to the General Ledger.
Required Skills and Competencies
To be successful in this role you will ideally come with some commercial experience gained in a finance function and construction or engineering industry experience would be highly desirable.
