A Plus Staffing Solutions Hiring for Office Assistant Full Time

Now seeking a motivated office manager and receptionist to join our team in St. Petersburg, FL!
The office coordinator oversees the office environment, manages office tasks and communications, and assists upper management with key functions. A typical day might involve handling incoming and outgoing emails, phone calls, and mail, as well as scheduling meetings, travel, and appointments. and coordinating meetings.
Key Responsibilities:
Front Desk

• Gatekeeper of the front desk
• Answering phone calls and transferring callers as appropriate
• Greet customers, and vendors, ensuring guests are directed to the right office personnel
• Manage schedules for conference calls and meetings, organize conference rooms for meetings, and assist with catering arrangements
• Draft letters, emails, charts, and graphs as requested by staff
• Manage travel arrangements including hotel and rental car for staff
• Manage office supplies inventory and place orders as needed
• Monitor and order inventory for office and break room supplies
• Manage incoming and outgoing correspondence, including emails, faxes, mail, and packages
• Submit work orders and schedule repairs for general office space and equipment
• Manage and distribute protein powder and vitamins to internal and off-site team members
• Contact shipping/receiving for truck deliveries
• Prepare and distribute birthday and anniversary cards to VP/GM

Human Resources Dept. Support
to the HR Manager

• Assist with Wellness allowance tracking to support payroll
• Distribute employee checks
• Accounting Dept. Support
• Sort and mail/email daily invoices
• Mail invoice statements to customers
• Collect receipts for Shoe Bonuses, track employee amounts on a spreadsheet and send check request to A/P
• Sort, scan, and send incoming mail to A/R and A/P via email
• Create a breakdown for the vitamin and protein powder orders
• Customer Service Support
• Complete monthly Customer Service department ing
• Complete monthly Customer Service expense ing
• Maintain and distribute field supplies (uniform, business cards, badges, marketing pieces)
• Source and work with vendors (field supplies)

Requirements:
Positive, enthusiastic, and flexible attitude

• 3+ years’ experience working as an Office Coordinator or other relevant position
• Proficient in Microsoft Office.
• Strong communication and interpersonal skills with good patience and professionalism
