Assistant Event Planner Full Time

Role Description

This is a full-time, on-site role for an Assistant Event Planner based in Toronto, ON. The Assistant Event Planner will support the planning and execution of various events, including private parties, corporate events, and weddings. Responsibilities include assisting with event logistics, coordinating event schedules, maintaining budgets, and liaising with vendors and clients to ensure smooth operations. The role also involves providing excellent customer service and ensuring all events meet client expectations and the company’s high standards.

Compensation:

• Competitive Salary: $55,000-$65,000
• Paid vacation days (10) and sick days (5)

Key Responsibilities:

1) Administrative Skills

• Maintain client tracker, calendar entries, etc. 
• Support in preparing client proposals for Senior Planner 
• Support Senior Planner 
• in meetings, turn around deadlines and define response rates. 
• with client follow ups  and menu updates
• Organizing and maintaining client folders 
• preparing final event details for events for internal and external use
• Outsourcing specialty items (cakes, rentals, etc.)

2) Client Management

• Work closely with Senior Planners 
• to actively invest in the relationships of our clients, venues, suppliers and partners.
• Act as contact support for each assigned client, available continually for questions, concerns, planning and coordination needs throughout the planning process 
• Maintain calendar and client folders proactively for all booked events
• Support in managing and directing e-commerce/delivery client base.
• Maintain presence at events (4-6 per month) providing social media content for elle cuisine social media outlets 

3) Event Planning, Logistics, Management

Ensure smooth and sustainable event execution strategies

• Menu planning
• Rental coordination and logistics
• Packing lists
• Logistics and event execution plans
• Placement of staff at events
• Décor and event production and event detail sheets. 
• event design and vision boarding for full planning clients

Manage day to day logistics and day of logistics for all types of events including 

• Packing lists
• printed materials such as signage and custom menus
• Rentals
• Scheduling & identifying staffing needs
• Site visits
• Onsite presence at events 
• Capture content at managed events for elle cuisine social media outlets
• Maintenance of existing and new client portfolios/folders
• Routine meetings with event planners and chefs to discuss clients, the event, logistics and execution. 
• Maintain presence at events (4-6 per month) providing social media content for elle cuisine social media outlets .
• Build and maintain a strong relationship with the director of events and the chef team working towards achieving agreed upon sales targets and outcomes within schedule

Qualifications

• Driver’s License with clean record (G)
• Proficiency in Microsoft Office, Google Suite, and Canva
• Proficiency in Event Planning and Event Management to assist in organizing and executing successful events.
• Experience in hospitality, ideally catering.
• Strong Communication skills to interact effectively with clients, vendors, and team members.
• Experience in Budgeting and the ability to manage costs efficiently for a variety of event types.
• Sales skills to promote and upsell services offered by elle cuisine.
• Detail-oriented and organized with excellent time management abilities.
• Ability to work in a high-paced, dynamic environment and manage multiple tasks simultaneously.
• Customer service experience and a passion for creating exceptional event experiences.
