The Opportunity

The Operations Administrator is a key operational support role with broad responsibility across field coordination, logistics, safety compliance, and workforce administration. This position works closely with field supervision and internal stakeholders to ensure projects are properly planned, mobilized, and executed.

Key Responsibilities:

Operations & Field Coordination

• Act as a primary coordination point between field crews, supervisors, and internal departments
• Manage day-to-day operational support, including scheduling, progress tracking, documentation, and issue resolution
• Compile and review daily safety data (BBOs, hazard IDs, near misses) and process field tickets
• Prepare operational summaries, reports, and support flare report reviews

Pre-Job Planning & Mobilization

• Support preparation of work plans and job packages in coordination with supervision and operations leadership
• Coordinate all pre-job requirements, including onboarding, orientations, training verification, and compliance
• Arrange and manage crew travel, accommodations, and site access
• Verify completeness and accuracy of all mobilization documentation prior to deployment

Safety & Compliance Support

• Support JHSC activities, safety meetings, and safety communications
• Compile safety statistics and contribute to internal and client-facing reporting
• Assist with COR audit preparation, compliance tracking, and documentation control
• Maintain and manage contractor compliance platforms (ISNetworld, Avetta, ComplyWorks, 8AM)

Workforce Support & Recruiting

• Coordinate recruiting activities, including interview scheduling, candidate follow-ups, and posting support
• Oversee onboarding processes such as D&A testing, ticket validation, and system access
• Track certifications, training requirements, expiries, and workforce compliance

Logistics & Shop Support

• Coordinate shipping and movement of tools, materials, and equipment across Canada and the U.S.
• Liaise with vendors, freight carriers, and customs brokers
• Support shop coordination, equipment allocation, and inventory tracking

Additional Responsibilities

• Manage the company CARM account, including fees, tracking, and inquiries
• Assist with internal events, meetings, and cross-functional coordination
• Provide general operations and administrative support as required
