Accounts Payable Administrator

Starting salary is 25-31 per hour with great benefits.

They filled the accounting role and are now looking to fill this ASAP.

Basically an administrative professional with AP / invoicing, etc. Administrative assistant to the Owner.

ALL ADMINISTRATIVE TASKS

ProcessPro implementation

Involvement in Special Projects, as needed

Invoice tenants for damages

Credit card processing, coding, and payment

Back-up to answering of phones

Distribution of mail when delivered

Packaging and preparation of ore samples

Managing certificates of insurance (COI)

Tracking water meter reads by John for invoicing out to tenants

Submit to Craigslist a listing of available space for rent on the owners properties.

Annual archiving of paper records.

File paperwork as needed.

Keep the filing cabinets in order and create new files when needed.

Enter AP Invoices

Match PO’s to invoices

Collect and file Purchase Orders (receivers) by month

Make sure invoices have correct GL codes

Select invoices to be paid for check run

Print & mail all paper checks

Create Positive Pay file for bank

Attach AP checks to invoices

File Invoices Paid and To Be Paid

Clear Invoices paid online or by Autopay w / manual check

Email Vendors that ACH payments were sent

Reply to vendor email and phone calls about past due invoices.

Reconcile Vendor Statements

Collect and gather receipts from the office, warehouse and owner paid on credit cards

Credit card expense s

Email tenants Insurance Limits for COI (Dundee)

Monthly reach out to tenants to update expiring COI’s

Update tenant contacts

Contact tenant about unpaid rent or cam charges

Run aging for Dundee

Scan invoices to Sharepoint and Yardi on check runs for Dundee

Work on Donations for Jeffrey’s Blu Ventures and Donations

File owners medical receipts and paperwork

Ship UPS packages out

Order office supplies and warehouse requested orders

Help the owner with various needs when requested

Book hotel reservation when needed

Book plane tickets when needed
