Our Sr. Executive Assistant earns a competitive salary of $52,000 – $62,500/year based on qualifications. Additionally, the city pays all premiums for our employees’ dental, long-term disability protection, and life insurance plus the majority portion of the medical premium for employees and their dependents. A DAY IN THE LIFE AS A SR. EXECUTIVE ASSISTANT

The purpose of this job within the organization is to provide high-level administrative support and enhance the effectiveness of the specified department. This position also acts as the lead for the administrative staff.

This job works independently, under limited supervision, ing major activities through periodic meetings.

Essential Functions

• Performs clerical functions such as preparing correspondence, receiving visitors, and scheduling meetings (in-person and virtually); acts as the liaison for the department by representing the department at internal meetings and with all levels of staff.
• Manages communication for the department and the council; manages flow of information out of the office to staff and citizens; tracks inquiries and follow-ups.
• Organizes and prepares information for the department and council; responsible for the production and publishing of weekly and monthly publications, as requested.
• Keep meeting minutes.
• Manages schedules, calendars and travel for the department and council; anticipates needs for the management team and their schedules; coordinates and provides support for meetings and public facing events for council.
• Supports the planning and execution of departmental events.
• Acts as administrative lead for administrative staff across the City organization, including leading quarterly meetings, coordinating knowledge shares, and cross training efforts.
• Performs accounting duties including processing invoices for payment, and payroll time entry; processes monthly purchase card s and expense s.

Additional Duties

• Serves on internal committees as a City Manager representative; participates on the internal Pearland Cares Committee.
• Organizes and coordinates bi-weekly senior staff meetings and other events as assigned.
• Coordinates record retention efforts for the department, and ensures files are living out the retention period and appropriately stored. Facilitates public information requests and serves as the representative from the City Manager’s Office on the records management Team.
• Performs related work as assigned.

Education And Experience

• Requires an associate degree in business, political science or closely related field. Bachelor’s Degree preferred.
• Requires six years mid- to senior-level administrative or closely related experience.
• Valid Texas Driver’s License
