In the role of Administrative Support, the Ministry is seeking someone who has excellent communication and positive interpersonal skills with a keen sense for detail who can work in fast-paced environment within tight deadlines with multiple interruptions. As administrative support, you will also be responsible to operate and maintain office equipment, receive, sort, and distribute mail and provide reception services in person and over the phone. As Administrative Support within the Transcript Services Unit (TSU) the successful candidate will:
Contribute to the TSU by monitoring and processing transcript packages, with a specific eye to detail;
Coordinate the transcript packages and the MOVEit software with the team, the manager, and the court office clerks; Manage the transcript database and send completed transcripts to requesting parties electronically and via postal service, along with issuing invoices.;
Accurately collect, gather, code, record, monitor, verify, calculate data, such as, accounts receivables and payables, collections, invoices, bank deposits and statistics using a variety of hardware, software and/or electronic systems with speed and accuracy;
Accurately compile, sort, and distribute high volumes of incoming and outgoing electronic mail in a timely manner;
Clearly and concisely share information with others to enhance their working knowledge on items such as policies, programs, procedures, and computer operations;
Acquire, purchase, and maintain inventory such as forms, office property supplies and equipment to ensure adequate resources are available;
Maintain high level of professionalism during all transactions with stakeholders, requesters, colleagues; and
Assume the role of the Supervisor while they are away.
The ideal candidate will have:
Effective administration skills, be detail oriented, precise and have knowledge of computer applications such as word processing, spreadsheets, database applications, Adobe, MIDAS, Microsoft Word, Excel, email and be adept with electronic and paper/manual file management (ARMS).
Knowledge of court related legislation, regulations, acts, legal terminology and policy and procedures related to transcript services and/or collecting and accounting fees received by the unit.
Knowledge of financial management and accounting principles and procedures relating to revenue, journal entries and reconciling accounts while utilizing Midas AR and Mark View applications;
A demonstrated ability accurately type, edit and format various documents as well as input, update, retrieve, maintain, format, and transmit information using computer software with speed and high attention to detail;
Ability to independently adjust your workload taking into consideration changing priorities, tight deadlines, multiple ing relationships and constant interruptions.
Strong communication, interpersonal, problem solving and decision-making skills when serving clients and colleagues in a variety of situations; and
A strong acumen when dealing with confidential and highly sensitive material within and outside the place of work.
Typically, the knowledge and experience required for this job would be obtained through a formal education program such as office education and/or a combination of education and experience.
