MUST:
3 years of experience as an Executive Assistant
Experience providing support to executive level staff
Answering phones and screening calls
Very strong calendar management
Setting up meeting and taking minutes, reserving conference rooms, ordering catering
Experience creating detailed s and spreadsheets utilizing Microsoft Office Suite
Preparing correspondence
Responding to emails
Maintaining and ordering office equipment and ordering office supplies
Experience preparing payment vouchers
Comfortable providing support on various projects
Answering phones and providing customer service support
Associates or Bachelor’s Degree preferred
DUTIES:
The duties of the Executive Assistant include but are not limited to:
Handle detailed calendar management for VP’s
Assists in care and maintenance of departmental equipment and supplies
Review office supply orders and prepare payment vouchers for goods and services received by the
Department
Act as liaison with Purchasing Department
Prepare s and schedules
Coordinate deadlines and complete special projects, correspondence, and s
Ensure smooth office operations
Screen and prioritize telephone calls and correspondence directed to the supervisor
Review, prioritize, and distribute paperwork
Organize and retrieve and attend designated committee/management meetings
Takes meeting minutes
Assure that confidential information and activities are handled discreetly and classified information is safeguarded
Organizes, schedules and confirms meetings and/or conferences. Reserves conference rooms and
equipment, selects and orders refreshments/meals, and composes meeting notices and correspondence.
Ensures timely distribution of correspondence.
Performs other duties as assigned
