As a Program Administrative Assistant, you will have the opportunity to collaborate with other administrative team members and may travel to satellite sites to cover-off. The Role
Respond to information requests from students, staff, and the general public
Assist the Academic Chair with administrative tasks, including ing, data analysis, research gathering, correspondence
Correspond and work with students who have inquiries/issues to determine the next steps via fresh desk, email, phone
Track instructor hours and maintain tracking database, review and validate information
Enter and prepare load verification s for instructors
Faculty Support – Expense claims processing, substitution forms, ordering of products/materials needed
Assist with booking travel and reconciling visa statements
Event planning, including booking venues and ordering catering, coordination with other SAIT departments and support personnel
Scheduling and faculty load entry via DCU
Room scheduling for meetings/orientations/info sessions
Take minutes at various meetings and program advisory committee meetings
Contribute to the effective operation of the schools and sites by performing cover-off reception and administrative duties when needed
Other duties as assigned
Qualifications
Minimum high school diploma or office administration diploma/certificate, supplemented with at least 3 years office experience is required
Highly prefer work experience in a post-secondary environment
Strong ability to work independently and make sound decisions or recommendations with limited direction
Highly customer service focused, willing to assist others and achieve team goals
Exceptional verbal and written communication skills, and ability to build positive work relationships
Excellent multi-tasking and organizational skills; flexible and able to manage changes on short notice
Committed to quality and meeting deadlines, with a keen eye for accuracy and developing process improvements
Intermediate to advanced level proficiency in Word, Excel, PowerPoint, Visio and Outlook. Microsoft Office Specialist (MOS) Certification would be an asset
Working knowledge of BANNER, SOLAR, DCU, ATOMS, and learning management systems is an asset
Project Management experience is a strong asset
