General Purpose: The receptionist serves as the interface between Mindful Health and its clients with a high level of professionalism and courtesy. They also provide administrative support such as scheduling appointments, call handling, printing schedules as assigned, and faxing/emailing information to the proper resource as needed within reason.
Responsibilities:
- Interact with clients in a courteous manner and assist clients with their needs. Must problem solve issues that require immediate attention professionally.
- Function within call center to assist management of daily clinic call volume.
- Document all received incoming calls in call tracking system.
- Enter clients into Electronic Health record assuring information is correct including demographics, insurance, and payment information.
- Assures paperwork and forms are filled out prior to the patient’s appointment and contacts patient if forms are not completed.
- Schedule initial and follow up sessions for virtual providers as needed.
- Calls virtual patients who cancel/miss appointments to reschedule and document.
- Documents no show/late cancellation reasons in Excel spread sheet at time of event.
- Works through the ONLINE INTAKE/SCHEDULING WORKLIST to pre-register and schedule patients.
- Make outbound calls to remind patients of appointments and to coordinate resolution of care opportunities with patients, providers, and pharmacies.
- Track appointments and document information completely, timely, and accurately
- Maintain confidentiality and adheres to HIPAA requirements.
- Collect/process client payments for virtual sessions as they occur by processing credit card on file, portal payments, or backend billing.
- Liaison with billing department to collect due balances for virtual clients.

Basics:
- 1 + year of front desk or receptionist experience
- Experience working within a behavioral health outpatient or inpatient facility a plus
- Spanish language proficiency is a benefit
- HS Diploma

Benefits (Full-time employees only)
- 120 hours (15 days) of paid time off
- 40 hours (5 days) of sick leave
- 24 hours (3 days) of paid bereavement leave per occurrence.
