Responsibilities

The Talent Acquisition Coordinator will work closely with the Talent Acquisition Specialist to support the entire recruiting, onboarding and offboarding cycles of an associate. This associate will assist with sourcing, screening, recommending and successfully hiring qualified talent. This associate will support all aspects of the recruitment process including but not limited to finding and interviewing candidates, advertising for open job positions, aiding in the development of new and current job descriptions, advising hiring managers, assessing and recommending candidates for specific roles, onboarding new hires, approving invoices, and performing exit interviews. The Talent Acquisition Coordinator will also support the administration of HR systems and other HR projects/events.

To ensure success as a Talent Acquisition Coordinator the Associate must have excellent communication/writing skills and good interpersonal skills. A top-notch Talent Acquisition Coordinator is well organized, highly detail oriented, efficient, professional, and approachable.

Responsibilities Include:

Recruitment

• Partner with the Talent Acquisition Specialist to post job openings on various platforms, including job boards, social media, and our company website
• Manage and update iCIMS to track the recruiting process for each candidate from beginning to end
• Assist in the scheduling and coordination of interviews and assessments with candidates and hiring managers
• Screen and review resumes and applications to ensure they meet the qualifications and requirements of the position
• Provide timely and accurate updates to candidates and hiring managers throughout the recruitment process
• Build relationships with hiring managers to understand the needs of the organization and internal departments
• Work with hiring managers to develop formal job offers for candidates
• Maintain effective communication with the candidates, Hiring Managers, Talent Acquisition Specialist, and VP of Human Resources

Internship Program

• Assist in the recruitment, screening, and selection of Intern candidates
• Attend and take part in career fairs
• Create supporting documents including Intern schedules, event flyers, etc

Onboarding

• New Associate Onboarding responsibilities include hosting orientation meetings, creating new hire gift bags, managing all new hire paperwork (PAF and signed documents), entering associate into ADP, transferring new hire paperwork into the ADP cloud, notifying payroll of all changes, managing i-9 compliance, developing and disseminating new hire announcements, and hosting office tours.
• Assist new hires with questions regarding their employment and make them feel at home from their first day of employment
• Process new solicitor permits and transit insignias and permit and insignia annual renewals
• Communicate with various departments when new hires are brought on board and provide them with necessary paperwork

Offboarding

• Perform exit interviews, respond to unemployment requests, manage termination PAFs, and send out status changes to the company.
• Facilitate the implementation of new Anniversary, Retirement and Recognition programs when needed

PAF Process

• Support the PAF process from start to finish by reaching out to managers to obtain PAFs and ensuring that all approvals are accounted for; ensure accuracy of information on PAF; follow up with managers when needed; process changes on PAFs; communicate changes with all “need to know” Associates.

ADP Onboarding Implementation

• Support the implementation of a new ADP onboarding system by providing assistance as needed.

Qualifications

Educational Requirements

• Bachelor’s Degree or equivalent experience

Training and/or Experience

• 2-4 years of experience in Talent Acquisition or related field
• Experience with Applicant Tracking Systems (iCIMS) and HRIS portal (ADP)
