Summary
Admin Support is responsible for answering and accurately directing all incoming calls, customers, and visitors professionally and positively while providing general office and clerical support with a variety of tasks and activities for the accounting department.
Essential Job Functions
Admin Support is responsible for the overall operation of the phone system while performing clerical tasks using multiple systems. Admin Support will work closely with the Freight Billing Supervisor to continue to improve and ensure a proper flow of paperwork and specific tasks. Applicant must be punctual and have the ability to multi-task all responsibilities while taking full ownership and accountability of his or her work. Must maintain composure and effectiveness in the face of competing and complex demands while using excellent written, verbal, and computer skills.
Typical Duties
ï‚§ Responsible for locking and unlocking the front door
ï‚§ Answer, screen, and forward all incoming calls using the provided flow chart
ï‚§ Greet office visitors and personnel in a friendly and sincere manner
ï‚§ Process daily accounting procedures such as credit card payments, batches, and cash receipts
ï‚§ Create and email customer invoices and provide copies upon request
ï‚§ Master the use of all software programs to include Sage, Doc Records, and the Microsoft Office Suite to maintain dispatch logs, rate quote folders, customer billing questions and notes, sales codes, and other various spreadsheets
ï‚§ Maintain multiple spreadsheets
ï‚§ Scan documents into DocRecords and check for accuracy
ï‚§ Process all outgoing mail
ï‚§ Filing for accounts receivable and accounts payable departments
ï‚§ Maintain copy machine, credit card terminals, postage meter, and shred bin
ï‚§ Ensure organization and cleanliness of the file room
ï‚§ Assist freight and household goods departments as needed
 Promote Sourdough’s Vision, Mission, and Culture statements
ï‚§ Other duties as assigned
