Overview

The Logistics Specialist will be responsible for following up on orders both from warehouses to customers and from suppliers to warehouses, and for checking daily with warehouses to ensure shipments and receipts are made on a timely basis. Scope of responsibility includes monitoring of shipments throughout the supply chain and communicating updates in a timely manner.

Responsibilities

1. Obtain bills of lading daily from warehouses and match to open orders.

2. Ensure that all information on the bill of lading matches the SOW.

3. Confirm in Chempax which orders have shipped and enter bill of lading/tracking and carrier information.

4. Follow up with warehouses when orders have not shipped timely for reason why and advise the sales representative and/or customer service representative to inform the customer.

5. Send out shipping logs daily to warehouses detailing what upcoming orders are to be shipped.

6. Send out past pick up log daily to all sales and customer service to ensure all personnel are aware of shipping status of orders.

7. Send commercial documents to AIC’s Customs Brokers as well as work with the brokers for any additional documents and/or supplemental information needed to ensure shipments are fully released and arrive timely.

8. Process inbound documentation from warehouses to insure correct product and lots received on each PO.

9. Other responsibilities:

• Obtain quotes from 3rd party freight brokers and arrange shipments for Inside Sales/Customer Service as needed.
• Create documentation required to ship materials & products via LTL, FTL, air freight, and ocean freight (Commercial invoices, bill of ladings, shipping labels, etc.).
• Arrange for customer returns to warehouses.
• File freight claims.
• Assist other departments with requests as needed.

Education and Experience

• High School Diploma required. Bachelor’s Degree preferred.
• At least 2 years related experience preferred.
• Experience working with a Traffic Management System (TMS) a plus
• Experience with international and hazmat shipping a plus
• Prior 3PL warehouse experience a plus

Knowledge and Skills

• Excellent computer skills including (Microsoft Outlook, Excel, Word, PowerPoint).
• Ability to learn Chempax (AIC’s Operating System) as it relates to assigned responsibilities: Researching customer, product, & supplier information.
• Excellent attention to detail and strong follow up skills.
• Ability to learn AIC Standard Operating Procedures related to assigned responsibilities.
• Excellent written and verbal communication skills.
• Excellent organizational and time management skills.
• Basic knowledge of international trade terms including Incoterms
• Strong critical thinking and problem-solving abilities.
