Omega Management Hiring for Property Management Onboarding Coordinator Full Time

Omega takes pride in the attention to detail, knowledge, and professionalism that goes into the management services we provide. To continue to grow, Omega is looking for a Property Management Onboarding Coordinator to add to our dedicated team, based in Maple Grove.

The Property Management Onboarding Coordinator is responsible for the onboarding of new association clients. This role is key to ensure a smooth transition of the association’s documents and files from the prior management company to Omega. This person will also work closely with the Board President / Directors during this process.

Additional duties, outside of the onboarding role will include administrative tasks within the department. This may include, but not limited to, assisting and providing support to the admin team where needed.

Responsibilities:

• Setting up a Trello board and notifying all appropriate internal employees of a new account that will be starting with Omega.
• Reaching out to outgoing management company to obtain documents. Follow up is key to ensure that information is received.
• Setting up and transfer of utility bill and vendor addresses to Omega to ensure invoices can be paid for the association.
• Completing a site inspection with the President to walk the property and to obtain the necessary information to familiarize yourself with the association.
• Scheduling an onboarding meeting with the President and board to set up the Annual Planning Calendar, reserve projects, budget, current projects, and any other pertinent information relevant to the association.
• Working with the Community Association Manager and providing the information obtained prior to the CAM getting ready to manage the account.
• Ensuring all information for Omega’s accounting, admin, and management team is completed for a smooth transition.

Requirements:

The Property Manager Onboarding Specialist should possess solid business / administrative experience with a general knowledge of organizational techniques and the ability to coordinate a wide variety of activities.

Some travel between local management companies will be required to obtain any hard copy files / boxes, blueprints, keys, etc., Candidates must have a valid state driver’s license and reliable transportation.

Prospective candidates should have a minimum of 1 year + of transferrable administrative work experience, a High School diploma or GED, and basic proficiency in the Microsoft Office, Excel, Microsoft Word, are required.

Further experience in property management or other related fields are highly preferred.

Knowledge / Competencies preferred:

• Principles and practices of management, including planning, organizing and assigning work, delegation of authority and accountability management.
• Familiarity with the basic operations of community associations or property management.
• Operational knowledge of management specific software strongly preferred (eg. Vantaca Software, Trello, or other similar software)

Skills:

• Time-management of competing priorities.
• Ability to collaborate with co-workers on various issues.
• Ability to delegate and supervise community related tasks.
• Working effectively with elected boards of directors, homeowners, local governmental agencies, contractors, insurers and others.
• Communicating effectively orally and in writing, including preparing written s’ and making presentations.
• Analyzing administrative problems, evaluating alternatives and effective courses of action.
