Job Summary

We are looking for an Executive Assistant that will perform a wide range of administrative and office support activities and aide the Chief Operating Officer/COO in facilitating the efficient operation of the organization. Responsibilities include but are not limited to managing calendars, scheduling, assisting with club members, clients, and real estate projects. To be successful in this role, you should be well-organized, have great time management skills and be able to act without guidance. Ultimately, you will contribute to the efficiency of our business by providing personalized and timely support to executive members.

Essential Functions

• Assists and supports the Chief Operating Officer in preparing for meetings, including preparing meeting materials, keeping track of meeting progress and follow up items, and preparing and revising correspondence and other documents, as necessary.
• Assists the Chief Operating Officer with scheduling appointments and maintains updates/changes calendar as needed.
• Maintains an efficient and organized filing system, including contracts lists, and any other pertinent information to the Chief Operating Officer.
• Maintains office, provides day-to-day administration through phone, written and face-to-face contract with all those needed assistance from Chief Operating Officer.
• Screens and directs incoming calls or clients to the appropriate individuals or department.
• Answers questions/inquiries as needed. Researches and follows up on inquiries that require more in-depth information.
• Performs varies clerical tasks utilizing knowledge of office systems and procedures. Types letters, correspondences, s, and presentations as needed.
• Communicates both among the organization and to the community to successfully complete administrative needs as requested.
• Outstanding organizational and time management skills, creative and willing to take work independently.
• Plan, coordinate, organize and help at various company meetings, events, and celebrations.
• Excellent MS Office knowledge

Job Qualifications

Education

• Associates or Bachelor’s degree in business administration preferred or equivalent work experience.
• Currently enrolled in 2 or 4 year program majoring in marketing, business, accounting or management information systems or equivalent.

Experience

• Minimum of two years as an executive administrate assistance in real estate is a plus or related fields
• Minimum of three years in administrative assistance

• Proven ability to work in a fast paced always changing environment
• Strong computer skills, MS word, Excel and Power Point
• Detail oriented with a strong attention to detail
• Ability to work independently to meet deadlines
• Strong communication and interpersonal skills.

• Excellent verbal and written communication skills.
• Detail-oriented and good time management skills and ability to prioritize work.
