Job Description:
The College of Liberal Arts and Sciences (CLAS) Academic Advising
Center (AAC) is seeking an Academic Assistant II. This position
performs secretarial and administrative duties for AAC. Duties and
responsibilities include, but are not limited to:
Provides primary support for the CLAS Undergraduate Catalog update
(a nine-month process), including: preparing initial documents for
review by academic departments in CLAS, reviewing all changes
submitted by units for Curriculum Committee approval; reviewing
Academic Advising section of Catalog, requests and inputs updates
from appropriate offices; inputting changes into Catalog software
as appropriate; reviewing changes input into Catalog by faculty
advisors and Associate Directors for accuracy; independently
reviewing all CLAS sections of newly-published Catalog for accuracy
and reporting discrepancies and errors.
Manages, with two other staff members, the processing and
correspondence related to approximately 5,000 forms requiring
actions regarding approval or denial of student’s academic
initiatives; including schedule adjustment forms, college petitions
and appeals, dual degree, double major applications, change of
major and minor application forms, and correspondence petition
approval. Responsible for collecting and screening confidential
student documents and correspondence regarding petitions and appeal
submissions via e-mail or fax.
Manages the processing of and correspondence relating to all grade
changes.
Manages Reception/Information Desks, answering questions from
students, parents of students, faculty, staff, and visitors to the
Center. Provides information regarding registration, schedule
adjustments, College and University rules and regulations, makes
advising appointments, and files paperwork as needed. Maintains
forms to the most up-to-date version that students need.
Coordinates the processing of honors theses in the Center,
certifying honors recommendations for CLAS, in conjunction with
various departmental honors coordinators.
Serves as a secondary staff member (and backup when needed) to
assist the Center transfer admissions team. Inputs receipt of
electronic transfer referrals in SASS, creates paper referrals for
each file, assigns referrals to advisors and disseminates them,
checks that decisions are made and inputted into SASS, and ensures
that referrals are properly filed.
Serves as a secondary staff member (and backup when needed) for the
Office of Health and Legal Professions Advising (OHLPA) for the
Center. Schedules appointments for Pre-Health Advisors: pre-health
appointments, mock interviews, and regular appointments. Assists
with various aspects of workshops/Q&A sessions/small group
sessions: room reservations, opening/closing room, and setting up
tech equipment. Maintains related brochures and other
handouts.
Performs other duties as assigned.
Expected Salary:
$18.00 – $20.00 per hour, commensurate with qualifications and
experience.
Minimum Requirements:
High school diploma or equivalent and three years of relevant
experience.
Preferred Qualifications:
PeopleSoft experience.
Microsoft Office experience.
