As Kitchener Waterloo’s newest private school, InnovOak School offers a quality educational program beginning in JK and continuing until Grade 12. Our school is located in the Innovation and Heritage Districts in Kitchener where we are building our school space in the Historic Greb Shoe Factory.

We have an immediate opening for a Customer Service Specialist. This is a unique to school role that requires the right person with exceptional communication, and customer service skills. Our Customer Service Specialist will:

• Deliver exceptional service to all potential InnovOak parents and prospects
• Work from first contact to build a sales relationship by providing accurate and positive information which connects the school brand to client needs
• Become an expert in our target market, learn to relate to their thinking, needs and anticipate the questions, concerns and objections they may have as they engage with us
• Working tirelessly to be a brand representative that is approachable, easy to talk to, and can relate to our parents
• Prioritize and connect families to the appropriate administrative or admissions contact and ensure that all leads are managed and handled with white glove personalized service
• Support the Principal in the tour process (confirming appointments, welcoming, taking notes during, and ensuring that all follow-up is managed in a timely manner)
• Managing contacts through the sales cycle, ensuring our contact management software is always accurate and up to date
• Connect with web inquiries, phone calls, emails and any inbound leads to bring them into our admissions and tour process
• Leverage their exceptional people skills to handle and manage a wide variety of customer needs and personalities, by putting yourself in the customer’s shoes
• Work with Admissions and Administrative team to innovate, strategize and plan for tours, call campaigns, emails and generally support our customers through our recruitment process
• Ensure all details of the customer relationship are managed and handled with efficient organization and impressive service – from pretour confirmation to post tour follow-up – all completed with attention to detail, thoughtfulness, and in a manner that keeps potential parents engaged
• Collaborate with the admissions team to strategize, reengage, and follow stale, old, or unconverted leads
• Support ongoing school events both on and off campus
• Be eager to take on new projects and responsibilities as they arise
• Be extremely flexible, adaptable and show passion and initiative for the role – we are looking for someone who is willing to roll up their sleeves and does not need to be told what to do.

Qualifications:

• Demonstrated Canadian experience working with customers, clients and success in similar Customer Service role
• Ability to communicate clearly in English to native speaking and ESL families that engages every contact
• Ability to commute to our office in Kitchener on a daily basis, regular access to a vehicle is preferred
• Ability to communicate with appropriate tone, professionalism, and clarity to different audiences (phone, email, in person)
• Projects a professional presence.
• Basic knowledge of specialized sales and how to approach customers
• Educational sales or recruiting experience a plus
• A focus on delivering a personal experience to parents and potential parents
• Resourceful self-starter with courage and confidence to engage with potential parents
• Readiness to collaborate and work in different capacities as part of a team.
• Strong interpersonal skills, including the ability to build rapport and connections with parents, grandparents, community stakeholders, and students from ages 3-18
• An aptitude for listening, solving problems, and responding flexibly and creatively to new challenges.
• Highly developed collaboration, self-motivated, and organizational skills
